SENIOR SECRETARY (BAND LEVEL 6) Division of Marketing and Communications (Permanent Position) DUTIES Reporting to the Executive Director, Marketing and Communications and working closely on a daily basis with the Manager, Finance and Administration, the Senior Secretary will perform highly responsible administrative support duties requiring initiative, strong judgment, and the ability to work independently. Duties include: Supporting the Executive Director and two Associate Directors through divisional planning, calendar management, meeting organization and preparation, associated agendas, minutes, and action item follow-up. Supporting divisional leave planning and ongoing management, including timesheet and leave entry responsibility. Providing support for divisional employee engagement activities. Being a key contributor to process improvement and process documentation, ensuring adherence to and operationalization of key University policies (i.e., Flags policy) and providing support for regular policy review processes. Assisting with financial matters, including travel claims and expenses, budgets, and accounts reconciliations; as well as coordinating purchases and requisitions for the office. Acting as the key contact for other areas of the University and external stakeholders, responsible for screening, acting upon, redirecting communications or requests, and/or tracking correspondence to ensure follow-up and on-time completion. Performing routine website updates to key areas of www.mun.ca using the University's content management system (T4). Supporting adherence to University reporting and regulatory requirements for the division. QUALIFICATIONS Thorough experience (5-7 years) in progressively responsible secretarial work of a self-directed nature; graduation from a secretarial science program, preferably supplemented by a diploma in Business Administration, is required; or an equivalent combination of experience and training may be considered. Strong organizational and time management skills are essential. The ideal candidate will have the ability to respond effectively with frequent interruptions; provide high attention to detail; have a commitment to service and quality; be proficient in preparing documents with Microsoft Office; be skilled in information management; and maintain exceptional knowledge of the University structure and procedures. The incumbent should be willing to learn, grow, and contribute fully to the division's overall culture and team engagement. Experience in the post-secondary system and with software used at Memorial, such as Banner Finance, would be considered an asset.
