Position Summary The Community Experience Representative supports a welcoming and efficient experience by responding to general information phone calls and emails, receiving and routing parcels and correspondence, resolving routine service issues, and escalating matters that require additional support or decision-making. Reporting to the Senior Manager, Membership and Community Experience, and works with Supervisors on the Membership and Community Experience team, this part-time position provides front-line concierge and customer service support to members, guests, staff, vendors, and visitors at the MNjcc. The position maintains current knowledge of MNjcc programs, events, services, and facilities and provides tours to prospective members and visitors. The role works with staff across the MNjcc to provide accurate information and coordinate responses to member and guest needs. All work within the organization ladders up to the strategic plan. Schedule Information Part-time, hourly, as scheduled Schedule includes rotating hours based on operational needs This position is an in-person role and requires working on-site Primary Duties And Responsibilities Apply MNjcc Customer Service Standards by communicating openly, building positive interactions, responding to requests, and following through on service needs. Provide professional and helpful service to members, guests, staff, and visitors regarding MNjcc policies, procedures, programs, services, and daily operations. Maintain current knowledge of MNjcc programs, activities, services, and special events to provide accurate information and respond to inquiries. Complete facility opening and closing procedures, as assigned, including phone and voicemail procedures, facility checks, and securing designated areas. Respond to frequently asked questions and refer inquiries to appropriate internal departments or external resources when required. Process program registrations and related payments in accordance with established procedures. Process sales for guest passes, theatre tickets, drop-in passes, and other applicable products or services. Support membership, program, and ticket sales by providing information and identifying relevant programs and services. Receive, document, and respond to member and guest concerns; resolve routine issues within the scope of the role and escalate matters requiring additional support. Provide professional telephone service by screening and directing calls and recording accurate messages when required. Follow established facility access procedures, including member sign-in, guest registration, visitor identification, and access to designated areas. Follow the MNjcc Code of Conduct and applicable workplace policies and procedures, and report incidents or concerns to the appropriate manager. Provide facility tours and guidance to prospective members, guests, and visitors. Complete other related duties within the scope of the position as assigned by the manager. Expectations Maintain professional and timely communication with community members, partners and staff. Communicate clearly and effectively, both in writing and in person Demonstrate professionalism, reliability, and accountability in all aspects of the position Build and maintain strong working relationships across all levels of the organization Maintain a calm and focused approach in fast-paced or changing environments Abide by the MNjcc policies and the Code of Conduct Attend staff training functions and meetings Some duties and responsibilities may change or be added from time to time, provided such changes are reasonable and consistent with the nature of the role Qualifications Ability to meet scheduled work times and maintain reliable attendance. Strong verbal and written communication skills, including communication by phone, email, and in person. Ability to learn and maintain current knowledge of MNjcc programs, services, policies, and procedures. Ability to provide accurate and timely information to members, guests, staff, and visitors. Experience building relationships and engaging diverse community members Knowledge of Microsoft 365 software – Outlook, Word, and Excel and technical confidence to learn organization software Must be legally eligible to work in Canada.
