This role coordinates homeowner interactions, trade partners, inspections, materials, production schedules, and closing activities while maintaining accurate records and reporting. Working closely with site supervisors and internal stakeholders, the Construction Administrator helps keep projects organized, on schedule, and responsive to homeowner and operational needs. Here’s how you’ll contribute * Support site supervisors by coordinating homeowner touchpoints and scheduling meetings (e.g., Meet the Builder, Frame Walks, key pick-ups). * Schedule city inspections and upload records into NewStar. * Maintain and regularly update weekly closing lists, accurately tracking changes to home closings while ensuring smooth coordination with site teams and relevant departments. * Order materials as required for site needs. * Manage trade partner coordination, ensuring they have the necessary information and equipment to complete tasks. * Update production schedules in NewStar and ensure accuracy of tracking reports. * Attend biweekly production meetings, document key takeaways, track action items, and distribute updates to site supervisors, trade partners, and relevant stakeholders. * Assist with resolving after-sales complaints and coordinating necessary repairs. * Support other departments with inquiries related to production, materials, and homeowner requests. And even if you don’t tick every box—we believe in your potential and are here to support your growth. * High school diploma required; a college diploma in Construction, Home Building, Administration, or a related field is an asset. * Minimum of five (5) years of customer service experience, preferably in homebuilding or construction. * Proficiency in Microsoft Office (Word, Excel, Outlook). * Knowledge of residential construction processes is an asset. * Experience with NewStar software is an asset. * Excellent communication skills (listening, verbal, and written). * Strong organizational skills with attention to detail. * Ability to manage multiple tasks efficiently. * Maintain a customer service-focused approach, proactively addressing homeowner concerns, fostering strong relationships, and ensuring high satisfaction levels through effective communication and resolution strategies. * Ability to work independently and collaborate effectively with teams. Hiring pay range rate: $58,000–$60,000 Pay ranges at Minto are designed to accommodate variations in knowledge, skills, experience, market conditions, and locations, reflecting our diverse industries, and lines of business.
