We are seeking an experienced, organized, and motivated Administrative Operations Manager to become a key leader within our organization. This is far more than a traditional administrative position. We are looking for a professional who enjoys leading daily operations, building efficient systems, supporting families and staff, and helping an organization grow. You will oversee the day-to-day administration of the organization, allowing our educators to focus on providing exceptional care and education for children. This is an ideal opportunity for an experienced operations or business professional who enjoys building strong systems, supporting a collaborative team, and helping a growing Early Childhood Education organization succeed. Compensation & Benefits Starting Salary: $55,000 annually, based on qualifications and experience. Additional Compensation: Eligible candidates who hold a valid Early Childhood Educator (ECE) Certificate will receive the BC Early Childhood Educator (ECE) Wage Enhancement in addition to their base salary, in accordance with provincial program requirements. Develop and improve systems, policies, and procedures that support efficient operations. Manage the annual calendar, operational priorities, and key organizational events. Maintain accurate and confidential student, family, and staff records. Ensure efficient office operations while continually identifying opportunities for improvement. Admissions & Enrollment Lead the admissions process from initial inquiry through enrollment. Conduct tours and build positive relationships with prospective families. Maintain enrollment records, registrations, and waitlists. Support enrollment growth through strong family engagement and effective administrative processes. Parent & Community Relations Serve as the primary administrative contact for families. Coordinate newsletters, communications, and organizational announcements. Foster positive relationships with families and the broader community. Assist with community partnerships, fundraising initiatives, and special events. Staff Administration & Human Resources Coordinate recruitment activities, applicant communications, interview scheduling, onboarding, and orientation. Maintain confidential personnel files and employment documentation. Coordinate staff scheduling and administrative records. Support employee performance processes through accurate documentation and recordkeeping. Help foster a positive, collaborative workplace culture. Licensing, Compliance & Student Safety Ensure ongoing compliance with licensing requirements and organizational policies. Maintain licensing, health, emergency, and student safety documentation. Coordinate inspections, emergency drills, incident reporting, and required compliance records. Financial Administration Assist with budget preparation, financial reporting, tuition administration, and operational purchasing. Monitor operational expenditures and maintain accurate financial documentation. Coordinate with financial professionals to support sound financial management. Marketing & Organizational Growth Coordinate marketing initiatives, website updates, newsletters, social media, and community outreach. Support enrollment initiatives through open houses, events, and promotional activities. Help strengthen the organization's reputation and support sustainable growth. Qualifications The ideal candidate will have: 3–5 years of experience in administration, operations management, business administration, educational administration, or a similar leadership role. Strong organizational, communication, and project management skills. Business and financial acumen with experience supporting budgets or business operations. The ability to manage multiple priorities while maintaining professionalism, discretion, and confidentiality. Proficiency with Google Workspace, Microsoft Office, and modern administrative software. Preference will be given to candidates with education or experience in one or more of the following: Business Administration Office Administration Accounting or Finance Marketing or Communications Human Resources Educational Administration Operations or Project Management An Early Childhood Educator (ECE) Certificate is considered a strong asset, and eligible candidates will receive the BC Early Childhood Educator (ECE) Wage Enhancement in accordance with provincial guidelines. Equivalent combinations of education and relevant leadership experience will also be considered. Experience in Early Childhood Education, an independent school, or a non-profit organization is considered an asset.
