We are committed to exceptional service, accurate documentation, and quality work. We are seeking a motivated, highly organized, and detail-oriented Compliance Coordinator to join our team. This is a fast-paced and important role combining compliance, project manager support, administration, and reception. The successful candidate will help ensure files are complete, deadlines are respected, adjuster requests are answered, and no important details are missed. Missing documents or delayed follow-ups can directly affect our performance scores with insurance companies. Key Responsibilities Review restoration files to ensure all required notes, photographs, reports, estimates, authorizations, and supporting documents are complete and uploaded. Monitor insurance company requirements, deadlines, service standards, and file compliance. Review and respond to adjuster notes in collaboration with the appropriate project manager. Identify missing information and follow up with project managers, technicians, estimators, clients, subcontractors, and insurance representatives. Maintain detailed follow-up lists and escalate urgent or outstanding matters. Assist with quality-control reviews before files, reports, and estimates are submitted. Support project managers with scheduling, documentation, client follow-ups, work authorizations, completion certificates, quotations, and subcontractor reports. Help ensure estimators and other team members have the information needed to complete their work. Answer incoming calls, schedule appointments, monitor shared inboxes, welcome visitors, and provide general administrative support. Communicate delays, client concerns, and file-related issues to the appropriate team members. Take initiative to identify problems before they affect the client, project, or company performance. Adapt to changing priorities and assist the team during busy periods. Qualifications Fully bilingual in French and English, written and spoken. Valid driver’s license. Exceptional attention to detail and strong organizational skills. Excellent written and verbal communication. Ability to manage multiple files, deadlines, and priorities. Comfortable asking questions and following up persistently when information is missing. Professional, dependable, resourceful, and solution-oriented. Strong computer skills, including Microsoft Office and email management. Experience in administration, insurance, restoration, construction, compliance, project coordination, or customer service is an asset. Knowledge of XactAnalysis, Xactimate, Encircle, or restoration management software is an asset. What We Offer Hourly salary of $22.00–$30.00, depending on experience.
