Description We are seeking a highly organized and detail-oriented Site Coordinator / Site Administrator to support the successful delivery of active residential and commercial projects. This role is responsible for coordinating day-to-day site administration, documentation, logistics, and communication between field teams, consultants, and office staff. Working closely with the Project Manager and Site Superintendent, the Site Coordinator ensures that project information is accurate, up to date, and effectively communicated to support efficient site operations and project delivery. The ideal candidate thrives in a fast-paced environment, is highly organized, and enjoys being the central link between site activity and office coordination. Key Responsibilities Support the Project Manager and Site Superintendent in the execution of project plans, schedules, and key milestones across active projects. Maintain accurate and up-to-date project documentation, including drawings, specifications, permits, change orders, RFIs, submittals, and site instructions, ensuring proper tracking, distribution, and record-keeping. Coordinate site meetings, including preparation of agendas, documentation of minutes, and follow-up on action items to ensure timely completion. Support day-to-day site operations, including coordination of logistics, deliveries, equipment scheduling, trade and vendor activities, and site access requirements. Track trade and vendor attendance and ensure all site personnel have required documentation and information prior to site access. Assist in maintaining organized material tracking, inventory oversight, and delivery coordination to support efficient project execution. Act as a key communication link between site teams, office staff, consultants, clients, and trade and vendor partners to support smooth project delivery. Support site safety and compliance activities, including maintaining documentation, assisting with orientations and toolbox talks, and participating in site walkthroughs to identify and escalate risks or non-compliance issues. Assist with reporting and administrative functions, including compiling project updates, processing timesheets and delivery slips, maintaining daily site logs, and supporting cost tracking and project close-out documentation. Support administrative coordination related to payroll inputs, invoicing, and expense tracking associated with site operations. Requirements 2–5 years of experience in site coordination, project coordination, construction administration, or a related role. Experience in residential, commercial, or infrastructure project environments is strongly preferred. Strong organizational skills with the ability to manage multiple priorities in a fast-paced site environment. High attention to detail and accuracy in documentation, reporting, and record keeping. Strong communication skills with the ability to interact professionally with site teams, subcontractors, consultants, and clients. Proactive problem-solving skills with the ability to anticipate needs, follow through on tasks, and support issue resolution. Ability to work effectively in both field and office environments, adapting to changing priorities as required. High level of accountability, reliability, and professionalism in day-to-day responsibilities. Team-oriented mindset with the ability to support both field operations and office coordination. Comfortable working with digital tools and systems; proficiency in Microsoft Office (Word, Excel, Outlook) is required. Experience with project management or construction management software is considered an asset. Strong documentation discipline, including the ability to maintain accurate records, logs, and project files. Familiarity with site safety processes, documentation, and compliance requirements is an asset.
