We are looking for an experienced, motivated individual to join our team as a Leasing & Property Administrator. This individual will mainly be responsible for overseeing a portfolio of residential and commercial properties, and providing outstanding service to both property owners and tenants. Essential Duties & Responsibilities: Manage portfolio of residential and commercial properties and serve as a primary contact for property owners and tenants. Build and maintain positive relationships through professional communication and exceptional customer service. Prepare, post, and update advertisements for available rental units across various rental websites, the company website and applicable social media platforms. Respond to rental inquiries by phone and email, schedule and conduct property showings, and follow up with prospective tenants. Process rental applications, including conducting credit checks, landlord reference checks, and employment verification, and recommend qualifies applicants for approval. Coordinate the lease process from application to approval through to tenancy commencement, including confirming required deposits, signed tenancy agreements, arranging key cutting, preparing move-in packages, and coordinating key exchanges. Organize and coordinate monthly rental unit turnovers, including move-in and move-out procedures, utility confirmations, property readiness, and communication with incoming and outgoing tenants. Manage May and September student lease renewals, new student tenancies, and associated turnover requirements. Coordinate routine, preventative, and emergency maintenance with contractors and in-house staff, and communicate maintenance concerns to the appropriate parties. Conduct property inspections and prepare detailed inspection reports to identify maintenance need and ensure properties are being properly maintained. Address tenant concerns and tenancy-related issues promptly and professionally, including matters relating to rent payments, maintenance, and general tenancy concerns. Obtain and review quotations for repairs, maintenance, capital projects, and make recommendations to property owners. Meet with contractors, third-party vendors, property owners, and other agents at properties as required. Assist with onboarding of new rental properties including gathering property information, coordinating required documentation, and preparing properties for management and leasing. Ensure managed properties comply with applicable legislation, municipal by-laws, fire safety requirements and company standards Maintain accurate up-to-date records, documentation, and property information using the company’s property management software and other applicable systems. Perform other administrative, leasing, property management, and related duties as assigned Experience & Requirements: 1-3 years experience in property management, real estate, marketing or related field University Degree or College Diploma in real estate, business administration or related field considered an asset Excellent time management, problem solving and interpersonal skills Display strong written and oral communications Must be self-driven, goal-oriented and have the ability to multitask with little supervision Comfortable working in a fast-past work environment is essential Proficient in Microsoft Outlook, Word, Excel, and Yardi Breeze property management software Strong understanding of the Residential Tenancies Act considered an asset Valid G2 Licence and access to a vehicle is required Ability to occasionally work evenings and/or weekends Why Join Our Team: You want to be a part of a great team that celebrates individuality, supports and builds people up.
