Job Summary In accordance with the Mission, Vision and Values, and strategic directions of Provincial Health Services Authority patient safety is a priority and a responsibility shared by everyone at PHSA, and as such, the requirement to continuously improve quality and safety is inherent in all aspects of this position. The Client Services Coordinator is responsible for the day to day operations of the Screening Programs client support services including the provincial screening program call center. The Client Services Coordinator hires, trains, supervises and evaluates assigned staff, and schedules and coordinates work assignments. The Client Services Coordinator performs related administrative duties such as training clerical staff in screening centres, trouble-shooting communication problems with screening centres, participating in program policy development, and makes recommendations on the client services staffing requirements for inclusion in future budgets. Duties/Accountabilities Develops and manages client services processes for the screening programs by performing duties such as organizing work flow, determining priorities, and scheduling staff. Resolves day-to-day issues including those related to client service issues, electronic data management, and document distribution in order to meet the needs and requirements of the various client service areas. Supervises assigned clerical staff by performing duties such as hiring, training and evaluating staff, addressing performance issues and proceeding with disciplinary action as required. Identifies training needs for clerical staff at screening centres. Coordinates computer and communication equipment installations and provides support including developing training modules and providing orientation and training sessions to effectively and efficiently deliver services to meet program needs. Conducts periodic site visits and audits of screening center program compliance with program policies and procedures. Participates in the evaluation and update of existing policies and procedures and develops, maintains and implements new and revised procedures by performing duties such as drafting procedures for recommendation to Managers and communicating information to staff. Provides regular reporting of various program quality management activities such as work area summary reports and site visit reports. Coordinates and inputs the operation appointment schedules for screening services throughout the Province. Coordinates customized computer scheduling formats for each of the screening centres, monitors centre requests for volume changes, implementing schedule changes and resolving problems. Qualifications A level of education, training, and experience equivalent to a two year post-secondary program in a health discipline or health care administration and a minimum of four (4) years recent related experience in a clinical or business environment including two (2) years of supervisory experience in a union environment. Demonstrated competence in Microsoft Office. Strong written and verbal communication skills to prepare and present training, reports and recommendations to multidisciplinary audiences. Demonstrated ability to organize and prioritize work. Ability to work under time pressures to meet deadlines and handle interruptions and changing priorities. Willingness to travel. Demonstrated ability to plan, analyze, implement and problem solve independently as well as the ability to work in the context of a team and participant centered environment.
