Role Overview The Client Service Assistant at Weinmar Wealth is a key operational and client service professional who helps ensure the team delivers exceptional client experiences, maintains operational excellence, and continuously improves internal processes. This role requires a high-capacity individual who thrives in a fast-paced wealth-management environment, demonstrates a high level of accuracy, and leverages modern productivity tools, including emerging Generative AI (GenAI) technologies, to enhance efficiency, communication, and client experience. Weinmar Wealth of Raymond James Ltd. is seeking an exceptional Client Service Assistant who will provide outstanding support to our team through their expertise, dedication, and commitment to client service. What is the position responsible for? Client Experience & Front-Office Operations Client Interaction - Manage incoming calls, greet clients and guests, and maintain a polished and professional office environment. Meeting Coordination - Schedule client and internal meetings, manage calendars, and ensure seamless logistics. Client Onboarding - Support client onboarding activities, gather required documentation, and ensure adherence to applicable CIRO and firm requirements. Operational Administration & Documentation Document Management - Prepare professional correspondence, reports, and client materials, and track documentation as required. CRM Quality Control - Maintain CRM accuracy, conduct periodic data reviews, and ensure all client information is current and compliant. Marketing, Digital Support & Events Social Media Support - Assist with content preparation, posting schedules, and messaging aligned with Raymond James' branding standards. Event Coordination - Support planning and execution of client events, seminars, and community initiatives. Website Updates - Maintain basic website content and coordinate updates with internal or external partners. GenAI & Modern Productivity Tools The successful candidate will demonstrate the ability to use approved and secure GenAI tools responsibly and effectively to enhance productivity, including: AI-Assisted Drafting - Using approved and secure GenAI tools to draft emails, summarize documents, prepare meeting notes, and generate first-pass versions of reports. AI-Enhanced Research - Leveraging approved and secure AI tools to gather background information, compare data, or prepare briefing materials. Workflow Automation - Applying approved and secure AI-powered tools to streamline repetitive tasks, such as formatting documents, organizing data, and creating templates. Responsible AI Use - Understanding privacy, compliance, and data-handling expectations when using AI in a regulated financial environment. To qualify for this opportunity, you possess: Required Skills & Attributes Meticulous attention to detail and commitment to accuracy. Advanced proficiency in Microsoft Office, including Word, Excel, PowerPoint, OneNote, and Outlook, as well as modern browsers. Strong organizational and problem-solving skills with the ability to manage multiple deadlines. Proactive, self-directed work style with a strong sense of ownership. Strong verbal and written communication skills and a collaborative, team-oriented approach. Adaptability under pressure and comfort with shifting priorities. Ability to learn independently, including new technologies and AI-supported workflows. Qualifications Post-secondary education in finance, business, financial planning, or wealth management is preferred. Previous experience within the financial services industry or a CIRO-regulated environment is considered a strong asset. CIRO Investment Representative license (or ability to obtain within 6 months). U.S. licensing may be discussed depending on role scope. Proficiency in English is required; additional language skills are considered an asset. What can you expect from us?
