Role Description The Administrative Assistant is a full-time, on-site role based in Vancouver, BC. This position supports advisors and team members with day-to-day administrative tasks, including managing calendars, scheduling meetings, preparing and processing documentation, and maintaining accurate records. The role involves handling incoming calls and client inquiries, directing communications appropriately, and ensuring a professional and courteous experience. The Administrative Assistant will also perform clerical duties such as data entry, filing, correspondence preparation, and document organization, while coordinating with internal departments to support smooth office operations. Attention to detail, confidentiality, and a strong client-service mindset are essential in this role. Qualifications Strong Administrative Assistance and Clerical Skills, including scheduling, documentation management, data entry, and record keeping. Professional Phone Etiquette and Communication skills, with the ability to handle client inquiries and internal correspondence clearly and courteously. Experience providing Executive Administrative Assistance, such as calendar coordination, meeting preparation, and support for senior team members. Proficiency with office software (e.g., Microsoft Office Suite), and comfort learning new systems and tools. Excellent organizational skills, attention to detail, and ability to manage multiple tasks and priorities in a fast-paced environment. Strong client-service orientation and ability to work collaboratively within a team while maintaining confidentiality. Previous experience in financial services, wealth management, or a professional office environment is an asset. Post-secondary education or equivalent experience in business administration, office administration, or a related field is preferred.
