Position Summary We are seeking an experienced, detail-oriented Payroll Administrator to join our team. This role is responsible for accurately processing full-cycle payroll for approximately 200 employees across our logistics and mechanical operations, ensuring compliance with federal and provincial employment standards. The ideal candidate brings hands-on payroll experience within the trucking, transportation, or construction industry, is comfortable working with mobile-based time and attendance systems (specifically Motive), and has experience administering group benefits and supporting new employee onboarding. Key Responsibilities Process accurate, full-cycle payroll for approximately 200 hourly and salaried employees on a biweekly or weekly basis, in compliance with federal and provincial regulations. Reconcile and import time and attendance data from mobile-based time card systems, specifically Motive, resolving discrepancies with drivers, dispatch, and site supervisors as needed. Calculate and apply overtime, statutory holiday pay, vacation pay, and other premiums in accordance with employment standards legislation and collective agreements (where applicable). Administer statutory deductions, remittances, and year-end filings (T4s, ROEs, WSIB/WCB, EHT, CPP, EI). Maintain accurate payroll records and ensure data integrity within the payroll and HRIS system. Administer group benefits programs, including enrolments, changes, terminations, and employee inquiries. Support new hire onboarding, including new employee paperwork, payroll setup, benefits enrolment, and orientation coordination. Respond to employee inquiries regarding pay, deductions, benefits, and time card discrepancies in a timely and professional manner. Prepare payroll-related reports for management, finance, and audit purposes, including labour cost summaries by job or project. Ensure payroll practices align with company policy, applicable collective agreements, and provincial employment standards across Ontario, Manitoba and Quebec. Support internal and external audits, including COR and WSIB/WCB audits, by providing accurate payroll and labour documentation. Stay current on changes to payroll legislation, tax regulations, and employment standards in all jurisdictions of operation. Qualifications & Experience Minimum 3-5 years of experience processing payroll for 100+ employees, ideally within the trucking, transportation, logistics, or construction industry. Hands-on experience with time card and ELD/HOS systems Experience administering group benefits plans, including enrolments and carrier liaison. Experience supporting employee onboarding and new hire administration. Payroll Compliance Practitioner (PCP) certification through the National Payroll Institute preferred. Working knowledge of federal and provincial employment standards (Ontario and Manitoba) and payroll-related regulatory requirements (CRA, WSIB, WCB). Proficiency with payroll/HRIS software and Microsoft Excel; experience with Trimble/TruckMate or similar transportation management systems is an asset. Strong numerical accuracy, organizational skills, and ability to manage confidential information with discretion. Excellent communication skills, with the ability to liaise professionally with drivers, field staff, and office personnel. What We Offer Competitive salary commensurate with experience.
