What You’ll Be Doing You’ll play a key role in delivering an exceptional customer experience while supporting the administrative processes that keep our dealership operating efficiently. Your day-to-day will include: Preparing and processing equipment sales invoices and wholegoods documentation Registering equipment warranties and maintaining accurate customer records Monitoring open equipment deals and coordinating with Sales and Service to ensure timely completion Posting supplier invoices, applying discounts, and closing completed deals within our dealership management system Ensuring manufacturer payment deadlines and early payment opportunities are met Tracking equipment inventory and maintaining accurate records and spreadsheets Greeting customers and creating a welcoming first impression at the dealership Answering and directing incoming phone calls and responding to customer and dealership email inquiries Sorting and distributing mail and supporting day-to-day office operations Processing daily cash, cheque, debit, and credit transactions while preparing bank deposits Maintaining organized electronic and paper filing systems Supporting month-end activities by ensuring all completed deals are finalized accurately and on time Coordinating key Health & Safety administration activities, including preparing meeting agendas and minutes, tracking employee training and certification renewals, scheduling safety training and orientations, supporting Joint Health and Safety Committee (JHSC) meetings, and serving as the Mount Forest employee representative on the JHSC. What Makes You a Great Fit You’re detail-oriented, dependable, and enjoy balancing multiple priorities while providing excellent service to both customers and coworkers. College diploma in Business Administration or a related field 3+ years of experience in an administrative or office support role Strong organizational skills with exceptional attention to detail Comfortable working with numbers, financial documentation, and data accuracy Excellent written and verbal communication skills Ability to manage multiple deadlines in a fast-paced environment Strong customer service and interpersonal skills Proficiency with Microsoft 365, Windows operating systems, and everyday office technology Experience with VitalEdge IntelliDealer is considered an asset Experience supporting Health & Safety programs, training coordination, or Joint Health and Safety Committee activities is considered an asset Able to work independently while collaborating effectively across departments Committed to maintaining confidentiality and professionalism A Role That Makes a Difference Every successful equipment sale depends on accuracy, communication, and organization.
