Our client is a top financial institution with significant North American holdings. They have operations across most major verticals, including institutional & corporate, wealth management, private clients, commercial banking, treasury, and retail banking. Introduction: Prime Hires is seeking a skilled Operations Officer III to join our client in support of an existing vacancy. Contract Period: 6 months with potential to extend or convert Pay Rate: $28.85 per hour Location: Toronto, ON Location Type: Onsite Business Hours: Monday – Friday, 8:30 AM to 5:00 PM Job Responsibilities: Provide a broad range of operational support and performs general to specialized transactions and/or other processing activities for own Operations and Business Services function. May contribute to analysis/reporting on critical projects or special initiatives that strengthen our operating model/processes and elevate service quality. Execute transactions accurately, on time and in line with established guidelines/procedures while adhering to formal or informal Service Level Agreement(s) (SLAs). Refer or escalate processing or operational issues as needed based on a solid understanding of the issue, connecting with the appropriate function/partner to facilitate resolution and ensure that service quality is maintained. Identify opportunities to improve service delivery. Support partners with incoming transactions, validating information as needed to perform adjustments within authority levels. Interact with partners by responding to requests in an effective and timely manner. Prioritize and manage own workload to meet Service Level Agreement (SLA) requirements for service and productivity. Understand internal and industry regulations and trends, remain informed of emerging issues and apply appropriate due diligence in adherence with operating policies/procedures. Consistently exercise discretion in managing correspondence, information and all matters of confidentiality, escalate issues where appropriate. Support the timely and accurate completion of business processes. Actively review internal processes/activities and provide ideas for process improvement. Investigate and escalate non-standard or high-risk activities as appropriate. Adhere to enterprise frameworks and methodologies that relate to operations activities for own area (e.g. Anti-Money Laundering, Business Continuity Management). Be knowledgeable of and comply with Bank Code of Conduct. Maintain a culture of risk management and control, supported by effective processes in alignment with risk appetite. Adhere to internal policies/procedures and applicable regulatory guidelines. Conduct reporting and / or meaningful analysis at the functional or enterprise level using results to draw conclusions, make recommendations, assess the effectiveness of programs/policies/ practices. Use insights into how the customer or sales team integrates with other teams to coordinate efforts and resources to achieve shared objectives. Monitor service, productivity and assess efficiency levels within own function. Implement continuous process / performance improvements where opportunities exist. Participate fully as a member of the team, support a positive work environment that promotes service to the business, quality, innovation and teamwork and ensure timely communication of issues/ points of interest. Support the team by continuously enhancing knowledge / expertise in own area and participate in knowledge transfer within the team and business unit. Keep current on emerging trends/ developments and grow knowledge of the business, related tools and techniques. Participate in personal performance management and development activities, including cross training within own team. Keep others informed and up to date about the status / progress of projects and / or all relevant or useful information related to day-to-day activities. Contribute to the success of the team by willingly assisting others in the completion and performance of work activities. Contribute to a fair, positive and equitable environment that supports a diverse workforce. Act as a brand champion for your business area/function and the bank, both internally and/or externally. First level service professional requiring detailed knowledge of own direct products /services and key competitors. Interacts with customers to provide guidance on a broad range of products / services and identify referral opportunities, based on bank guidelines. Basic understanding of the business developed through education, training and / or experience. Develops foundational understanding of competitors, target industries and customer segments. Uses established methods and scripts to understand customer needs. Performs activities for customer retention and acquisition under direct guidance. Reports to the Manager of Client Service. Process and complete back-office financial requests and transactions, review and update information within internal systems, collaborate with internal stakeholders, participate in team huddles, and ensure all work is completed accurately and within established timelines. Experience & Qualification Requirements: Post-secondary education or university degree required. 0-5 years of Advanced proficiency in Microsoft Excel, including VLOOKUP/XLOOKUP, Pivot Tables, Conditional Formatting and Formulas and data analysis functions experience required. Strong verbal and written communication skills with the ability to communicate clearly and professionally. Previous experience in banking or financial services operations. General knowledge of the wealth management industry. Basic understanding of registered and non-registered account types and associated investment assets. Familiarity with account transfer systems and related operational processes. Completion of the Canadian Securities Course (CSC) or Canadian Investment Regulatory Exam (CIRE) is considered an asset. Ability to adhere to strict deadlines and handle high volumes of work. Excellent quantitative and analytical skills/problem solving skills. Excellent organizational and time management skills. Ability to work independently, as well as part of a team. Self-motivated and goal oriented. Ability to adapt to changing policies and procedures. Attention to detail is crucial. Understanding of Money Movement and Registered and Non-Registered Products (e.g. Options, Margin, Foreign Exchange spots and forwards, Money Market deposits, relate to transfer locked in registered products). Knowledge asset and securities. Sound knowledge of Microsoft Office, proficiency in advance Excel is a must, coupled with the ability to learn and apply skills to new software programs. Knowledge of Global and Wealth Shared Services platforms would be an asset. Experience in a Transfer Processing related role, preferably experience with Registered and Non-Registered Accounts products (such as locked in registered products, Margin).
