We have an existing opportunity to add a full-time Administrative Assistant to our team! This position is In-Office and will be located in our London, ON office. Candidate should live close to the office location, as you will be expected to be in office weekly. Visit davies-group.com/northamerica [https://davies-group.com/northamerica/] or www.claimspro.ca [http://www.claimspro.ca/] Job Responsibilities * Support to the adjusting team (Accident Benefits, Liability, Property or other areas) and the branch office * Provide high level of customer service to clients and the insured * Set up and preparation of new claims assignments to internal adjusters in accordance with predetermined KPI’s and client guidelines * Professional telephone manner and excellent communication skills both written and verbal * Ability to problem solve and work well independently and in a team environment * Strong organizational skills with an ability to re-prioritize tasks and manage time effectively * Team player and excellent interpersonal skills with ability to interact with all individuals in all levels within the organization * Ability to work well under pressure and maintain composure in a fast paced and changing environment * Maintaining applicable information and data entry within internal claims management software * Sending appropriate client acknowledgements, confirmations and correspondences to clients, claimants, legal representatives and parties involved on various claim files * Transcribing data from source documents following generally standardized procedures using coding skills and some judgement for review by the adjuster * Transcribing reports and statements when required * Processing client invoicing for claims and prepare files for closure * Administrative support to the district/branch manager, assistant branch manager and property supervisor as needed * Coordinating and arranging various appointments for adjusters in addition to handing both incoming/outgoing phone inquiries * Reception relief answer phones and forward calls in a timely, professional and efficient manner * Other duties as assigned Qualifications & Experience * A post secondary diploma in Office Administration * Equivalency in combination of education and experience will be considered. * Ongoing commitment to education and learning * Able to draw valid conclusions and effectively communicate them. * Qualify for Adjuster’s license - must be willing to take courses and obtain license in the future * Proficient with use of Microsoft Office Products (Outlook, Word, Excel, OneDrive) * Previous experience within a dynamic team will be given preference. * Previously demonstrated ability to execute high attention to detail * Demonstrated ability to manage changing priorities and proven organizational skills * Demonstrated behaviors showing initiative behaviors and follow-up skills * Demonstrated ability to maintain a high level of confidentiality * Demonstrated professionalism and work ethic * Proven ability to contribute to and work well within a team environment * Advanced communication skills including: * Effective written skills including grammar and those of a technical nature * Demonstrated organizational skills with the ability to prioritize and manage conflicting priorities in an effective manner. * Proactive and positive approach to customer service ensuring that all inquiries are effectively dealt with in a timely manner. * Strong interpersonal skills allowing you to effectively deal with conflict and difficult situations. * Commitment to ongoing education and learning * Positive Team Dynamics * All prospective employees must pass a background check * Time Allocation estimations are subject to change We welcome and encourage applications from people with disabilities.
