Hospitality Coordinator Full job description at the Segal Centre for Performing Arts EMPLOYMENT STATUS: Part Time HOURLY RATE: $21.00-$23.50 REPORTS TO: Front of House Manager 1. POSITION SUMMARY The Hospitality Coordinator plays a key operational and guest-facing role at the Segal Centre. Reporting to the Front of House Manager, and liaising with key internal stakeholders, this position ensures smooth, professional, and positive hospitality experiences across all Segal events — from opening nights to rentals, and donor functions Working in accordance with the budget and scale of the event, they are responsible for requesting and overseeing the staffing necessary for these events. They work with the Front of House manager to secure catering and to ensure that they have all the necessary people and tools to make these events a success. This role contributes to the organization's mission by creating a safe and welcoming environment for our artists and guests. They work closely with Production, Development, and Front of House to achieve departmental and organizational objectives. 2. KEY RESPONSIBILITIES & TASKS a) Hospitality and Events • Coordinate food and beverage needs for internal and public-facing events including: o Opening and Closing Nights o Cast Noshes, Meet & Greets o Donor and audience engagement events (e.g., Thursday Night Outs) o Other internal events • Liaise with Development, Production, and Front of House (FOH) to ensure seamless execution of hospitality events. • Source, shop for, and maintain hospitality items (catering supplies, flowers, tablecloths, etc.). • Maintain cleanliness and readiness of all hospitality spaces (Art Lounge kitchen, storage, fridges). • Document processes and help develop systems for repeatable, high-quality execution. • Ensure steps of service are maintained throughout all events and oversee event staff. b) Budgeting and Administrative Oversight • Accountable to manage hospitality budgets in coordination with the FOH Manager. • Track petty cash, submit receipts, and prepare expense reports and reconciliations. • Support invoice preparation and documentation for internal and external events. b) Team and Collaboration • Report directly to the Front of House Manager, who provides shift scheduling, supervision, and strategic coordination. • Attend FOH briefings and staff meetings as needed • Provide recommendations to improve service quality, audience experience, and internal workflows. • Support the creation of a welcoming, inclusive, and professional environment for all staff, patrons, and guests. 3. CORE COMPETENCIES • Strong verbal and written communication skills. • Strong organizational and time management skills; able to prioritize under pressure. • Ability to manage multiple priorities and deadlines simultaneously. • Strong interpersonal and relationship-building skills. • Ability to work independently and as part of a team. • Sound judgment, professionalism, and discretion. • Problem-solving and critical thinking abilities. • Commitment to the organization's mission, values, and strategic objectives. • Proven experience in hospitality, or event coordination, ideally in a cultural or live performance setting • Comfortable supervising others and taking initiative in the moment. • Familiarity with Quebec liquor regulations and cash handling procedures. • CPR/First Aid certification (or willingness to obtain). • Basic budgeting or financial tracking experience. 4. PREFERRED QUALIFICATIONS • Two plus years of experience in service and hospitality. • Experience in restaurant management is considered an asset. 5. KEY ATTRIBUTES • Confident, articulate, and comfortable delegating tasks. • Strong initiative and ability to direct a team. • Excellent collaboration skills and ability to thrive in a dynamic, fast-paced artistic environment. • Composed under pressure with a strong solution-oriented approach in high-visibility situations. • Strong interest in theatre, community engagement, and cultural impact. • Level of English required: fluent. • Level of French required: advanced. 6. WORKING CONDITIONS a) Work schedule: 20 hours a week between September 10 and December 8, and Monday February 12 – June 30, 2023. Flexible weekday hours, and mandatory on-site presence for all Hospitality events. b) Work location: On site for all internal and external events from set up to take down. *Events include but are not limited to: Opening Nights (public), Closing Nights, Meet and Greets, private rentals, etc. c) Evening and weekend availability: Employee must have availability to attend evening and weekend performances, opening nights, and community events. 7.
