That’s why SickKids Foundation is looking for a new Coordinator, Events. Number of Positions: 2 Position Status: * 1 Permanent Full-Time position * 1 Temporary Full-Time position (12-month contract) Reports to * Manager, Event Services * Manager, Event Logistics About the Roles We have two Coordinator, Events opportunities available: one permanent full-time position and one temporary full-time position for a 12-month contract. Both Coordinators, Events play an integral role in the planning, coordination and execution of SickKids Foundation’s portfolio of signature, stewardship, cultivation and recognition events. Working closely with their respective Managers, each Coordinator supports every stage of the event lifecycle, from planning and logistics through onsite execution and post-event reconciliation. The Coordinators partner with Foundation teams, hospital stakeholders, vendors and volunteers to deliver exceptional event experiences that strengthen donor relationships, drive revenue and support the Foundation’s mission. These opportunities are ideal for individuals who enjoy both operational planning and hands-on event execution, thrive in a collaborative environment and are passionate about creating meaningful experiences. Event Planning & Execution * Support the planning through execution, coordination and execution of exceptional signature, stewardship, cultivation and recognition events. * Assist with all phases of the event lifecycle including planning, logistics, onsite execution and post-event reconciliation. * Coordinate event logistics including venue requirements, production schedules, load-in/load-out plans, run-of-show documents and contact lists. * Prepare event books, briefing materials and execution documents for internal teams and vendors. * Assist with event concept development and implementation. Project Coordination * Maintain project timelines, task lists and planning documents to ensure deliverables remain on track. * Provide regular status updates during team meetings. * Support continuous improvement by identifying opportunities to streamline event processes and documentation. Vendor & Stakeholder Management * Research vendors, obtain quotations and assist with procurement activities in accordance with Foundation policies. * Support RFP processes by coordinating documentation and summarizing vendor proposals. * Build strong working relationships with internal partners, hospital teams, suppliers and event stakeholders. * Deliver exceptional customer service while supporting donor-facing experiences. Financial Administration * Support event budget tracking and expense management. * Process invoices, reconcile corporate credit card expenses and maintain accurate financial records. * Cross-reference event budgets with Foundation financial reports. * Identify cost-saving opportunities while maintaining high-quality event delivery. Event Operations * Coordinate event inventory, supplies and event materials. * Lead packing and unpacking of event assets before and after events. * Manage event storage and inventory tracking. * Support onsite event setup, execution and teardown. Administrative Support * Maintain event documentation, filing systems and project records. * Coordinate mailings, shipping, printing and other administrative activities. * Develop presentations, spreadsheets, floorplans and supporting materials using Microsoft Office. Qualifications While we know that for any job posting no one candidate will possess the qualifications being sought in equal measure, below is an outline of the qualifications we believe are important for a candidate to bring to the position or for the successful candidate to develop while in the role: * College diploma or university degree in Event Management or a related field. * Minimum two years of experience in event planning, fundraising events, hospitality or related experience. * Strong organizational skills with the ability to manage multiple priorities simultaneously. * Excellent interpersonal and communication skills. * Strong customer service orientation. * Ability to build positive relationships with internal and external stakeholders. * Strong attention to detail and excellent follow-through. * Proactive, resourceful and solutions-focused. * Comfortable working independently while contributing to a collaborative team. * Strong financial and administrative skills, including budget tracking and reconciliation. * Proficiency with Microsoft Office and AI (Excel, PowerPoint, Word, ChatGPT, CoPilot). * Experience supporting onsite event execution. * Ability to occasionally work evenings and weekends as required. Total Compensation Package: Hiring Salary Range: : $49,846 – $58,640; with the ability to progress to a maximum of $70,367 with demonstrated experience and proficiency. To ensure fair and equitable pay at SickKids Foundation, placement on the salary range will be based on your years of experience, skills, and qualifications Permanent Full-Time: To help you lead in the fight for kids’ health and to support your health, wellness, and career growth, in addition to competitive compensation, we offer a comprehensive benefit package (includes a flex benefit plan), tuition reimbursement, flexible work arrangements, pension plan and birth parent/parental top up – to name a few!
