Providing updated technology and data driven services that meet the needs of Residence and Housing students and users in a responsive, timely, courteous, efficient and effective manner. About The Role Reporting to the Associate Director, Housing Admissions and Occupancy, reviews, evaluates and processes applications, following established policies to fill residence rooms each term as well as during the term as vacancies arise, including assessing the eligibility of applicants and enrollment checks. Provides information to prospective and current students (international and domestic; undergraduate and graduate) on the different policies and procedures governing eligibility and application processes. Prepares and sends communication for housing offers, confirmations, fees, and cancellations. Assigns and reassigns residence rooms to manage optimum occupancy to meet departmental goals and critical deadlines. Accurately processes financials for each resident; creates and posts charges for all residents each term; audits charges to ensure accurate billing; calculates prorated adjustments and credits; administers payment plans, fee deferral requests; and administers accounts receivable for in room residents. Accountable for accurate maintenance of student housing database: ensuring accurate records for statistical analysis and enrollment management. Responds to diverse and complex in-person telephone, email, chat inquiries from students, campus partners, and other housing services team members relating to accounts, applications or room assignments. Maintains and builds online student facing web portal for applications and housing processes. Qualifications High school graduation and one year of post-secondary education, including courses in word-processing, database and spreadsheet applications, project management, and office procedures including basic accounting practices. 3 years of experience. An equivalent combination of formal education, certificate/program of study and experience is acceptable. Advanced knowledge of StarRez housing database to maintain the student applications process, room assignment and inventory. Good understanding of the post-secondary student experience and a student-centered approach to work. Excellent knowledge of Freedom of Information and Privacy Act as it applies to student records. Good knowledge of basic accounting practices. Project management experience. Excellent organizational and ability to prioritize and multitask. Ability to exercise mature judgment and initiative to work independently and organize work to meet deadlines. Ability to maintain complex data and records with a high degree of accuracy. Ability to handle confidential/sensitive material with discretion. Excellent customer service and communication (verbal and written) skills. Good intercultural communications skills. Ability to work with frequent interruptions. 55 wpm keyboarding skill with a high degree of accuracy Ability to use word processing, database, and electronic mail, room reservation, and report writing software applications (e.g., Word, Excel, PeopleSoft, SFU Connect) at an intermediate level. Ability to work flexible hours including occasional weekends and evenings.
