Position Title: Office Coordinator Department: IT Services Position Type: Full-time Continuing Classification: MPE Band B Salary Range: $44,967 to $54,951 (based on 37.5 hours per week) Posting Date: September 17th, 2026 Closing Date: October 2nd, 2026, at 1:00 PM AST POSITION DESCRIPTION St Francis Xavier University, which offers Canada’s premier undergraduate experience, is seeking an Office Coordinator to join the IT Services Management Information Systems team. The Coordinator, IT Services is a business and communications organizer for a primarily technical team. Under the general supervision of the Director, the IT Office Coordinator is responsible for supporting administrative, project and operational activities to ensure the smooth functioning of the office. The person in this role requires a solid technical background combined with strong business skills. They must be able to understand and be a translator of technical language into business language for varied activities and projects. Key Responsibilities Administration * Assists with ITS budget, billing, and procurement activities. * Maintains and reports on time tracking data (UKG) for IT management team. * Attends ITS team meetings, keeping records of progress and actions; Manages ITS space and arranges facility bookings as required. * Maintains office supplies and some equipment. * Assists in the development, documentation and implementation of office procedures. * Composes business correspondence for approval and signature for Director and senior IT staff. * Maintains confidential records and filing system. * Coordinates calendars, meeting schedules and related events for senior IT staff; Facilitates travel arrangements for IT team. Project Support * Participates in the maintenance of the ITS project portfolio, resource tracking and reporting processes. * Assists with documentation and coordination of IT planning processes. * Provides project management for some ITS internal projects. IT Operations Support * Coordinates and delivers ITS communications through social media, email, newsletters, etc. * Maintains and documents existing IT policies. * Analyzes and reports on IT service data. * Conducts IT market research and produces reports for management. * Maintains some hardware and software licensing contracts. Qualifications/Skills * A vocational diploma or university degree. * Excellent relationship building skills with a focus on professionalism and quality control. * Excellent time management, organizational skills, and planning/forecasting skills.
