As a Proposal Specialist, you'll play a key role in developing competitive, customer-focused proposals that drive business growth. Working collaboratively with cross-functional teams, you'll respond to RFPs and RFQs by creating accurate, high-quality proposals that align with customer requirements. Review RFP/RFQ documents: Thoroughly analyze requirements to create both technical and commercial proposals, ensuring accurate cost allocation, adherence to Survalent’s standards, and competitive positioning within agreed timelines. Proposal Preparation: Develop error-free, technically accurate, and well-structured proposals that clearly articulate the scope of work, methodology, project approach, and implementation services. Collaboration: Proactively communicate with project managers, finance and sales teams to gather and integrate technical, financial, and operational information into proposals. Work closely with management to report on the status of quotes, and proposals workloads. Collaborate with peers to share information, lessons learned and promote continuous improvement. Sales Support: Partner with sales representatives to design solutions that meet customer requirements while maintaining target margins. Demonstrate a strong understanding of project requirements, services associated with specific tasks, and cross-dependencies on software. Quotation and Order Management: Track and maintain the status of quotations and orders in the department’s business system, ensuring timely updates and efficient workflow. Customer File Maintenance: Ensure customer files are up-to-date and compliant with team protocols, including ISO standards and Survalent work instructions. Financial Coordination: Liaise with the Finance Department to ensure accurate and timely invoicing and payment. Request bid and performance bonds as required. Adherence to Policies: Follow standard company policies and procedures diligently. Comply with Survalent’ s ISO/IEC 27001:2022 Information Security Management System (ISMS) Policy. Comply with Survalent’ s ISO 9001:2015 Quality Management System (QMS) Policy. Other Duties: Perform additional tasks as assigned by management. What are we looking for? Bachelor’s degree from a four-year university required Minimum of 5 years’ experience in application engineering or comparable role, preferably in the SCADA, automation, or IT industry. Proficient in Microsoft word and excel (including advanced features), knowledge of Microsoft Visio and Microsoft Project is a plus Fluent in English, with strong writing skills for technical and proposal documentation Excellent telephone and negotiating skills, technical writing abilities, and strong organizational skills. Strong attention to detail in reviewing RFP/RFQ requirements, cost breakdowns, proposal formatting, and wording Proactive in team communication, status reporting, and fostering collaboration for continuous improvement. Quick to learn project requirements and solutions, with a strong interest in sales support. Strong analytical and problem-solving abilities, especially in bid/no-bid decisions and legal/commercial reviews. Highly organized, capable of managing multiple priorities and tight deadlines. Positive, resilient, and able to perform well under pressure. This is a full-time permanent position reporting to the Proposals Manager. The salary range for this role is $75,000-$80,000.
