Schedule: Monday-Friday, approximately 30 hours per week About The Role We are seeking an experienced and highly organized Office Manager to join a dynamic professional services firm in Southwestern Ontario. The ideal candidate will have at least 3 years of experience managing a professional or business office, preferably in a small-team environment. This is a hands-on role requiring someone who is self-motivated, resourceful, detail-oriented, and comfortable managing multiple areas of office operations. You will play a key role in supporting accounting, finance, operations, human resources, administration, marketing, and technology, working closely with company leadership to ensure the smooth and efficient operation of the office. Key Responsibilities Accounting & Finance Manage accounts payable and accounts receivable Prepare and coordinate invoicing, banking, statements, and payments Review and approve monthly timesheets Support payroll and financial reporting Assist with budgeting, strategic planning, and management reporting Coordinate tax filings, insurance renewals, and employee benefits Operations & Project Support Assist with project management and project administration Support proposal and contract management Maintain business processes, procedures, and documentation Coordinate internal meetings and maintain company calendars Human Resources Coordinate employee onboarding and offboarding Support employee reviews and HR administration Assist with health & safety and legal compliance Coordinate staff events and employee initiatives Office Administration Oversee day-to-day office operations Manage office supplies, vendors, and general office services Maintain office email accounts and administrative systems Coordinate meetings, events, and team activities Support special projects as required by company leadership Sales & Marketing Manage and maintain CRM information Support business development and marketing initiatives Assist with client relationship management and related activities Information Technology Provide basic administrative support for office management software and systems Assist staff with day-to-day software and technology-related requirements Qualifications Minimum 3 years of experience managing a business or professional office with 5+ employees Strong organizational and time-management skills Excellent written and verbal communication skills in English Advanced proficiency in Microsoft Excel and Word Ability to multitask and manage competing priorities Strong interpersonal and problem-solving skills Ability to work independently and as part of a small team Valid driver's licence with the ability to occasionally travel to supplier locations Must be authorized to work in Canada Must be comfortable working on-site; this is not a remote or hybrid position Assets Experience with any of the following would be considered an asset: BQE Core QuickBooks Dext Ninety Dashlane or similar password-management software Microsoft 365 and OneNote Third-party payroll systems Event management Business or office management education Schedule Monday-Friday, 8:30 AM-3:00 PM, with adjusted summer hours when the office closes earlier on Fridays.
