Our client, a portfolio management firm located near the St. Andrew subway station in downtown Toronto requires a Portfolio Administrator to join their team. The incumbent will be part of a team responsible for working with clients on account opening paperwork with our custodians, client requests, and daily reconciliations utilizing our portfolio management system. The person is responsible for contributing to the overall success by providing superior client service and administrative support. The individual must possess a strong understanding of financial services and wealth management products, including the various types of investment accounts. Ideally, they will have 2 to 4 years of experience in a similar role within the industry. There may be opportunities to grow with this small company. Major Accountabilities Provide accurate reporting to clients, senior management and other interested parties Ensuring all daily activities are tracked, completed and accurate Preparing and managing client correspondence and communications, including letters, mailings, invitations, activity tracking, and banking requests Working with clients on account opening documentation Assisting with quarterly reporting process as well as other quarterly publications Accurately processing daily transactions originated by clients & management Daily reconciliation of custodian to internal system Complete filings for client activity, research, and regulatory requirements in a timely manner Helping investment team generate reports for individual and seasonal presentations Assisting with organizing special events and presentations Helping with general office functions and file maintenance Job Requirements Strong problem-solving skills Client focused, and a strong client service orientation is required Strong organizational skills and excellent attention to detail Strong team player with ability that thrives in a team environment Excellent with numbers Post-Secondary education CSC required Proficiency with all aspects of Microsoft Office (especially Excel & Word),PowerPoint Financial Services industry experience Infinite Systems(Harmony) software experience an asset Experience with NBIN and RBCIS an asset Experience with DocuSign an asset The individual must be able to deal with frequent interruptions, high flexibility due to changing situations. Extra hours may be required during peak volume periods.
