The Institutional Sales Associate provides critical operational, analytical, and relationship-support capacity to the Canadian Institutional Sales team, enabling the Managing Director, to focus on client-facing activity across the full spectrum of Canadian institutional investors, including major pension plans, insurance companies, investment consultants, sub-advisory partners, and Indigenous trusts. This role combines CRM and pipeline management, meeting preparation, competitive and market research, and direct relationship-building responsibility for a defined segment of smaller institutional accounts. It is well suited to a motivated, detail-oriented professional seeking a pathway toward a Vice President-level institutional sales career. Key Responsibilities and Duties Sales Operations & Pipeline Management Maintain accurate and current CRM records across all Canadian institutional accounts, tracking meeting notes, next steps, and relationship history. Own pipeline reporting for the full team, consolidating activity across regions and verticals into regular management updates. Coordinate scheduling, logistics, and materials preparation for prospect and client meetings, including due diligence sessions and finals presentations. Client & Prospect Support Prepare briefing documents, account profiles, and competitive intelligence ahead of VP and MD meetings. Draft and coordinate responses to due diligence questionnaires (DDQs) and RFPs in partnership with CPMs and RFP specialists. Support the preparation of pitchbooks, fact sheets, and other client-facing materials, ensuring compliance review is completed prior to distribution. Direct Account Ownership Independently manage relationships with a defined book of smaller institutional accounts, including foundations, family offices, and emerging plans not yet warranting senior coverage. Identify and qualify new prospects within this segment, escalating opportunities of sufficient scale to the appropriate VP. Market & Competitive Research Track relevant market developments, competitor product launches, and consultant search activity across the Canadian institutional landscape. Support account planning processes by compiling relevant data on target accounts, including asset allocation trends and manager roster changes where available. Cross-Functional Coordination Liaise with compliance, legal, marketing, and product teams to ensure all client-facing activity and materials meet internal policy and regulatory requirements. Support onboarding of new institutional clients in coordination with operations and legal teams. Educational Requirements University (Degree) Preferred Work Experience 3+ Years Required; 5+ Years Preferred Physical Requirements Physical Requirements: Sedentary Work Career Level 7IC This position must be based in Canada. Qualifications: Required: One to three years of experience in institutional sales support, asset management operations, or a related financial services role. Preferred: Bachelor's degree in finance, economics, business, or a related field required; progress toward CFA, CAIA, or CSC/CPH designations is an asset. Three years of experience in institutional sales support, asset management operations, or a related financial services role. Strong proficiency in CRM systems (Salesforce or similar) and Microsoft Excel and PowerPoint. Excellent written and verbal communication skills, with the ability to synthesize complex information into clear, concise materials. French language proficiency is a strong asset given the team's Quebec market coverage, though not required for all placements. Demonstrated attention to detail and ability to manage multiple concurrent priorities in a fast-paced environment. Within the first six to twelve months, a successful Associate will have taken full ownership of CRM hygiene and pipeline reporting across the team, be independently managing a growing book of smaller institutional accounts, and be trusted to prepare high-quality materials for MD-level meetings with minimal oversight. Longer term, this role is designed as a developmental step toward a Vice President-track institutional sales career.
