About UBC Properties Trust UBC Properties Trust creates, develops and manages real estate that supports UBC's academic mission and builds long-term value for the university. Our work includes institutional, residential, retail and office projects at the UBC Vancouver and UBC Okanagan campuses. The Opportunity The Construction Coordinator supports projects from late construction through occupancy, turnover and warranty. The role has a strong mechanical and HVAC focus and works closely with project teams, consultants, trades, building operators and user groups to resolve issues, complete documentation and deliver functional spaces. The coordinator also manages smaller renovations, tenant improvements and post-occupancy work, with responsibility for scope, schedule, cost, coordination and closeout appropriate to the size and complexity of each assignment. Key Responsibilities Coordinate building turnover to UBC or UBC Properties Trust Property Management, including checklists, training, demonstrations, keys, signage, furniture, record drawings and final Operations and Maintenance manuals. Support commissioning and occupancy readiness, with particular attention to mechanical and HVAC systems, controls, testing, balancing, seasonal commissioning, operator training and closeout documentation. Review mechanical drawings, specifications, shop drawings, commissioning reports and site conditions to identify coordination, performance and maintainability issues. Maintain the project deficiency, warranty and issues logs. Assign responsibility, confirm target dates, follow up with consultants and trades, verify completion and provide clear status reporting. Coordinate post-occupancy issues with building operators and user groups, distinguishing warranty deficiencies from maintenance, operational or new-scope requests and directing each item appropriately. Plan and manage small renovations, tenant improvements and corrective work. Develop scopes, obtain pricing, coordinate access and shutdowns, monitor work, manage changes and complete project closeout. Coordinate work in occupied buildings to minimize disruption and maintain safety, access, communication and continuity of building operations. Assist with permits, inspections, occupancy requirements and the collection of certificates, test reports, warranties, record documents and other completion records. Prepare meeting notes, action lists, purchase orders, contracts and change documentation as required. Track decisions, commitments, scope, schedule and cost. Build effective working relationships with UBC and UBCPT teams, consultants, construction managers, contractors, trades, vendors and user groups. Qualifications And Experiences Diploma, degree, trade qualification or equivalent experience in mechanical engineering technology, building systems, construction management or a related field. Minimum two years of relevant experience in construction, project coordination, commissioning, facilities or building operations. Practical understanding of mechanical and HVAC systems, including air and hydronic systems, controls, testing and balancing, commissioning, equipment access and maintenance requirements. Ability to read and interpret mechanical, architectural and electrical drawings, specifications and equipment data. Experience supporting deficiency correction, warranty follow-up, occupancy, turnover and closeout documentation. Experience coordinating small renovations, tenant improvements or construction projects in occupied facilities is an asset. Working knowledge of construction contracts, purchase orders, change management, project costs and schedules. Familiarity with CCDC contracts and consultant agreements is an asset.
