Our valued client, a well-established boutique law firm, is seeking an experienced Immigration Legal Assistant to join its Calgary office. The firm has a close-knit team of approximately 15 to 20 professionals, with offices in Calgary and Vancouver. Its practice encompasses corporate, commercial, immigration, employment and litigation law. The firm takes pride in serving businesses, families and individuals with diligence and professionalism. Position Summary The successful candidate will provide comprehensive administrative and file-management support to the firm’s immigration practice. This role requires exceptional organization, accuracy and discretion, as well as the ability to communicate with clients in a professional, patient and compassionate manner. Key Responsibilities Responsibilities will include: Preparing, reviewing and organizing immigration applications, forms and supporting documentation; Communicating with clients to obtain information and required documents; Maintaining accurate and well-organized electronic and physical files; Monitoring application requirements, deadlines and important dates; Drafting and formatting correspondence, forms and other legal documents; Assisting with submissions to Immigration, Refugees and Citizenship Canada and other applicable government bodies; Coordinating appointments, meetings and lawyer calendars; Managing incoming correspondence and following up on outstanding matters; Assisting with time entry, billing and general administrative duties; and Providing additional support to lawyers and other team members as required. Qualifications and Experience The ideal candidate will have: At least three years of experience working as a Legal Assistant within a law firm; Previous experience supporting an immigration law practice; A Legal Assistant diploma or an equivalent combination of education and experience; Familiarity with Canadian immigration terminology, forms and application processes; Excellent written and verbal communication skills; Exceptional attention to detail and organizational abilities; Strong document-production and proofreading skills; The ability to manage multiple priorities and meet time-sensitive deadlines; Confidence working independently while remaining a collaborative team member; Sound judgment and the ability to handle highly confidential information with discretion; A professional, client-focused and compassionate approach; and Strong proficiency with Microsoft Office and legal document or practice-management systems.
