Urban Legal Recruitment is excited to be assisting our valued client, a highly regarded national law firm, in the recruitment of a Senior Business Law Legal Assistant to join its Calgary office. This full-time, permanent opportunity will provide comprehensive legal and administrative support to a busy lawyer with a sophisticated Business Law practice. Our client is seeking a highly organized and experienced professional with approximately 10 to 15 years of legal assistant experience. The successful candidate will be comfortable handling both legal and administrative responsibilities, including Alberta Court of King’s Bench filings, complex calendar management and detailed travel coordination. This role is ideally suited to someone who takes initiative, exercises sound judgment and can confidently manage multiple competing priorities. Principal Duties & Responsibilities Draft, prepare, revise and compile correspondence, agreements, closing documents, forms and other corporate and commercial documentation. Assist with corporate and commercial transactions, including document preparation, due diligence, closing agendas and organization of closing materials. Prepare and electronically file documents with the Alberta Court of King’s Bench and other applicable courts or registries. Coordinate complex calendar management, including scheduling and prioritizing meetings, appointments, deadlines and other commitments. Maintain reliable bring-forward and deadline systems to ensure important dates and follow-up items are addressed. Coordinate detailed business and travel arrangements for the lawyer, including flights, accommodations, ground transportation, itineraries, event registrations and supporting materials. Organize meetings and ensure the lawyer has all necessary documents and information in advance. Manage and respond to client inquiries and conduct follow-up as required. Open and close client files while adhering to established intake and file-closing procedures. Organize and maintain physical and electronic client files, records and correspondence. Prepare expense reports, docket entries, cheque requisitions, client accounts, e-billing reports and other billing-related documentation. Provide general administrative support, including correspondence, document management, meeting coordination and client communications. Provide support to other lawyers and team members when appropriate and necessary. Perform additional administrative duties and special projects as assigned. Qualifications Legal Assistant Diploma from an accredited college. Approximately 10 to 15 years of legal assistant experience. Strong experience supporting a corporate, commercial or Business Law practice. Demonstrated experience preparing and filing documents with the Alberta Court of King’s Bench. Strong calendar management skills and the ability to coordinate multiple competing meetings, appointments and deadlines. Experience arranging detailed business travel and preparing comprehensive itineraries. Experience with iManage is considered an asset. Advanced proficiency in Microsoft Office, with strong overall technical skills. Excellent interpersonal, verbal and written communication skills. Exceptional attention to detail and proofreading abilities. Ability to anticipate needs, take initiative and manage urgent priorities with minimal supervision.
