Position Overview: The Body Shop Administrator ensures that Velocity Truck Centres delivers consistent, high‑quality service to customers, while supporting the body shop team and managers. Duties & Responsibilities Opens and closes repair orders, ensuring accuracy and completeness of documentation Coordinates with technicians and foreman to track job progress and update work orders Prepares estimates, submits and follows up on insurance and warranty claims Assists with parts ordering and ensures correct billing and coding on all repair orders Communicates with customers regarding repair timelines, authorizations, and updates Tracks and files all required documentation for audits and compliance Maintains technician time records and assists with payroll-related documentation Supports the Body Shop Manager and Foreman with reporting, scheduling, and general admin tasks Ensures all data entry is completed accurately and in a timely manner Upholds confidentiality and professionalism in handling customer and internal information Contributes to the overall organization and cleanliness of the office and customer areas Skills & Qualifications High school diploma or equivalent; post-secondary education in office administration is an asset 2+ years of administrative experience in a dealership, service, or body shop environment Strong computer skills, including Microsoft Office (Excel, Word) and familiarity with dealership management systems Understanding of repair order workflows, parts invoicing, and insurance documentation Exceptional organizational skills with strong attention to detail Professional written and verbal communication skills Ability to work independently in a fast-paced, customer-focused environment Who We Are: Velocity Truck Centres Canada provides full-service support, including sales, maintenance, parts, collision repair, and financing.
