Job Description: Equipment Coordinator Summary: Vision Integrity is looking to hire an Equipment Coordinator for a full-time position. The Equipment Lead will play a crucial role in maintaining business infrastructure, managing asset inventory, and supporting fleet and facility operations. This role requires a balance of administrative diligence, hands-on physical task management, and strong interpersonal communication. This position will begin as full-time, 5 days in-person, though flex-work options may be considered after initial training is successfully completed. Main Duties and Responsibilities: Equipment & Asset Management: Handle the check-in/out, cleaning, function testing, logging, and software/firmware updating of corporate and field equipment. Auditing & Compliance: Conduct regular equipment and asset audits across multiple corporate locations and perform equipment distribution reviews for company personnel. Fleet Assistance: Support fleet operations by transporting vehicles, coordinating routine maintenance, completing basic filter replacements, handling dealership pickups/drop-offs, and managing vehicle branding appointments. Telematics & Safety Monitoring: Monitor corporate vehicle telematics systems and handle routine notifications and safety follow-ups with drivers. Inventory & Logistics: Manage the day-to-day stock of corporate merchandise, prepare shipping/receiving via Purolator, handle inventory tracking, and coordinate restocks with management. Occasionally driving assets to locations throughout AB / BC / SK as required with short notice. Facility Maintenance: Complete routine preventive maintenance tasks for the Calgary office, and occasionally other locations in Alberta. Physical Operations: Manage the physical organization of equipment, including moving heavy items safely between storage areas. Position Requirements: Valid Class 5 Non-GDL Driver’s License with a clean driving history. Comfortable driving larger utility vehicles (e.g., F-150 / F-350) in both long-haul highway and tight inner-city environments. Access to a reliable personal vehicle for occasional light work-related use. Ability to operate independently for extended periods while maintaining productivity and high-quality control. Schedule Flexibility: Able to work flexible hours, including occasional evenings or weekends with short notice to resolve urgent operational issues. Physical Capability: Ability to safely lift and carry up to 60 pounds up and down stairs unassisted and for short distances. High Attention to Detail: A strong focus on "quality over quantity" in all administrative and physical tasks. Safety Conscious: High level of situational awareness regarding physical tasks, slips/trips/falls risks, and the maturity to stop and ask for clarification or assistance when unsure. Technical Proficiency: Proficient in Windows 11 or MacOS operating systems and familiarity with M365 Apps, including Teams, Outlook, Word, and Excel. Strong Interpersonal & Social Skills: Outgoing, conversational, and comfortable engaging with people both internally and externally. Nice-to-Haves: Vehicle Knowledge: An interest in late-model vehicles, maintenance/mechanical, detailing, and hardware troubleshooting. Ability to perform basic maintenance such as oil and filter changes as needed. Technology Interest: An interest in IT (hardware and software) and familiarity with basic networking concepts, M365 Azure / Entra, or other corporate system administration.
