WeirFoulds is seeking an AI Enablement & Operations Specialist to support the practical adoption, administration, governance, and continuous improvement of the firm’s AI platforms, including Harvey, Microsoft Copilot, and future AI-enabled legal technology tools. This role will help move the firm from AI experimentation to sustainable, responsible use by supporting users, coordinating vendors, building repeatable workflows, and translating AI capability into practical business value. Role Focus This role will work primarily with the IT team and report to the Director of IT, with the opportunity to work closely with the Firm AI Committee. The focus will be approximately 70% AI operations, administration, support, training, documentation, and user enablement; and approximately 30% AI innovation, use-case development, workflow testing, vendor pilots, and measurable adoption outcomes. The successful candidate will partner closely with the IT team and other teams, including Library Services and Learning and Development. Core Operations: Administer AI platforms, access, permissions, licensing, configuration, and support processes. Coordinate with IT and vendors to troubleshoot issues, test features, and support platform stability. Track support trends, adoption barriers, and recurring user questions. Enablement & Adoption: Provide practical support to lawyers, legal assistants, clerks, business professionals, and administrative teams. In partnership with our L & D team, develop training, FAQs, quick reference guides, prompt examples, and workflow materials. Promote safe, consistent, and responsible AI use across the firm. Innovation & Value: Identify, assess, and prioritize practical AI use cases with practice groups and departments. Build and test AI-assisted workflows for legal and business use cases. Document benefits, lessons learned, limitations, risks, and adoption outcomes. Governance and Responsible Use The role will help users understand approved usage expectations, support documentation of AI risks and controls, reinforce human review of AI outputs, and collaborate with IT, security, privacy, risk, vendors, and business stakeholders to support professional obligations, confidentiality, data protection, and firm standards. Qualifications and Experience Degree, diploma, or equivalent experience in information technology, legal technology, business technology, knowledge management, or a related field. Practical understanding of generative AI tools, large language models, prompting concepts, and AI-assisted workflows. At least 1-2 years of experience supporting enterprise technology platforms, business applications, legal technology, AI tools, or professional services technology environments. Experience with Microsoft 365, Microsoft Copilot, Harvey, document management systems, knowledge management tools, vendor coordination, training materials, or law firm/professional services environments is strongly preferred. Key Attributes Strong communication skills and the ability to explain AI and technology concepts clearly to non-technical users. Practical troubleshooting ability, sound judgment, discretion, and service orientation. Curiosity, adaptability, strong documentation skills, and comfort working in a fast-moving technology environment. This is a new full-time, permanent role. The core hours are Monday to Friday – 9:00 a.m. to 5:00 p.m. We are currently operating under a hybrid work model, and the successful candidate will be required to work from the office a minimum of 3 days per week.
