Position: HR Assistant (Full-Time Permanent) Location: Summerland Seniors Village (Summerland, BC) About Us At West Coast Seniors Housing Management, we see our communities as a family and we are equally committed to our residents and our staff. About the Role The Human Resources (HR) Assistant reports to the General Manager and/or designate and performs Human Resources related functions which promotes a high standard of customer service and professionalism at the community. The HR Assistant is responsible for maintaining personnel files, attending employee HR meetings, providing clerical support and other Administrative tasks. Responsibilities Include but not limited to: 1. Be an engaged collaborative team player, developing and maintaining professional relationships that support and strengthen the organizational culture and purpose. 2. Maintains employee records; including auditing employee files and sends out correspondence to leadership and employees as to any upcoming expiry dates and/or deficiencies; also achieving terminated files. 3. Assists with the recruitment process, supporting the sourcing, pre-screening, setting up interviews with leaders, reference checks, and offer letters. 4. Provides HR administrative support which includes drafting employee correspondence e.g. offer letters and disciplinary letters; 5. Updates all data on the WPS including training, employee and resident lists, current phone numbers of family members etc. on a monthly basis. 6. Schedules and informs employees of all HR related meetings, (Grievances, performance related meetings, etc.). - Takes and types meeting minutes for all HR related meetings. 7. Coordinates and schedules HR investigations and may participate by takes minutes for same 8. Prepares on-boarding packages, and arranges on-boarding activities including “general orientation” 9. Takes monthly minutes for Town Hall, Family Council, Food Council and Tenant council and ensures these are typed and saved in the GM file. 10. Coordinates training sessions and tracks for employee records. 11. Follows policies and procedures of the community, and maintains confidentiality with employees and resident information. 12. Processes approved general leave requests. 13. Promote and maintain positive communication and relationships among staff, residents and the public. 14. Attends and participates in community and education programs. 15. Responds to resident and building emergencies. 16. Perform other duties as required Qualifications and Skills: 1. Grade 12 education 2. Graduation from a 12 month Secretarial/Administration program or equivalent 2 years recent related experience or an equivalent combination of education, training or experience. 3. Computer literate with intermediate to advanced Excel and Word. 4. Ability to read, write and speak English proficiently and understand verbal and written instructions. 5. Customer service oriented; interest in working with seniors. 6. All successful applicants must pass the vulnerable sector Criminal Record Check applicable to Provincial guidelines. 7. Ability to plan, organize and prioritize 8. Knowledge of general office procedures 9. Ability to manage high volume of work and manage several tasks at once 10. Exigences

Candidates must have a Grade 12 education and either a secretarial program certification or two years of related experience. Proficiency in Microsoft Office and the ability to pass a vulnerable sector Criminal Record Check are required.
