Youshaei Studios is a Los Angeles-based YouTube production company producing interview and behind-the-scenes content for a growing audience, alongside brand partnerships and live events. As we scale our shoot schedule and brand partnerships, we're looking for an operations manager to own the operational backbone of the business — from shoot logistics to contracts to the systems that keep every project on track. This is a high-autonomy role for someone who takes full ownership of what they touch, stays two steps ahead of problems, and takes pride in nothing falling through the cracks. What You'll Own Shoot logistics, start to finish — travel, housing, crew scheduling, equipment rentals, and on-the-ground coordination across every production Cross-project operations — set back-calendars, track milestones, and manage competing priorities across 3+ active productions at once Crew & contractor staffing — own the hiring pipeline for freelance crew and contractors — sourcing, vetting, and hiring across ProductionHUB, Staff Me Up, and direct outreach — so productions are never scrambling for coverage Agreements & vendor management — draft and prep contracts in PandaDoc, chase signatures, and own vendor relationships end-to-end — sourcing, negotiating terms, and keeping documentation current across every active partnership Financial operations — own AP and invoicing for productions in Ramp and Xero, bill clients and collect on outstanding payments, and support budgeting across active shoots Insurance and risk coordination — certs, coverage, and renewals for shoots and equipment Tooling and systems — drive team adoption of our stack (PandaDoc, Ramp, Xero, Claude) and evaluate/roll out new tools as the company scales, including keeping leadership's day-to-day operational needs handled AI-driven workflow design — use Claude and other AI tools to streamline contract language, admin work, and repetitive processes Event production support — help source vendors and coordinate logistics for brand activations and live events You Are 3+ years in an operations role, ideally at a startup A proven operator who can run a function independently, not just execute tasks handed to you Highly organized and calm under a fast-moving, ambiguous schedule Backed by real experience managing complex logistics — contracts, insurance, invoicing, vendors, and competing deadlines — from a background in production, events, property management, construction management, or similar high-stakes operations Skilled at building systems (calendars, trackers, processes) that keep multiple projects on track without close supervision A clear, proactive communicator who flags problems before they become fires Fluent with AI tools like Claude as a core part of your daily workflow Comfortable with ambiguity and scope that shifts as the company grows You've worked in a small company or startup environment — not just at a large org with dedicated departments for everything Pacific Time zone preferred; Mountain Time (one hour ahead) even better Structure Up to $80K USD/ 100K CAD per year, paid hourly as a contractor during a trial period on real projects, converting to a full-time W-2 role
