Zetron Canada Office | Victoria, BC Full-time / M-F / 40hrs per week Availability to be onsite Monday-Friday for the first 3-6 months during role commencement to promote successful orientation and job-specific training. To be followed by the opportunity for optional hybrid with the expectation to be onsite 3+ days per week for team collaboration. There may be rare opportunities for international travel with this role. This position has been evaluated with an annual base salary range of $54,000-60,000 CAD. The target hiring range is $54,000-58,000 CAD, ensuring room for continued growth in remuneration through annual performance and compensation reviews. Offers will be determined based on the successful candidate's assessed skills, experience and qualifications. Role Responsibilities Order Entry Administrators own the order entry process, liaising with Sales and Manufacturing teams to ensure customer orders are completed with thoroughness, accuracy and efficiency. This is vital to enabling smooth production on delivery of sales orders. Order Entry Administrators practice regular data-hygiene best practices in keying in, editing, and proofreading purchase orders, quotes and other correspondence on a regular basis. Specifically, An Order Entry Administrator Will Review, analyze, approve, and document sales deals, ensuring compliance with company policies and procedures. Manage deals through the approval process, obtaining complete, comprehensive details for orders. Enter accurate and timely information into Customer Relationship Management (CRM) and Business Systems. Confirm any noted discrepancies between purchase orders and quotes directly with clients. Investigate and resolve discrepancies between Zetron sales quotes and Customer purchase orders, interacting with a variety of stakeholders and sharing updated information regularly. Independently research and explore options to resolve any new issues that arise, leveraging company knowledge, internal stakeholders, and/or customers as needed. Provide direct customer service as required by responding to inquiries, questions, concerns, etc., (phone, email and chat) on a timely basis. Contribute to creating and maintaining an Order Entry Administrator process manual, continually sharing ideas for improving process efficiencies and communicating more transparently across stakeholder groups. Maintain customer and order data on the Order Entry team shared drive in alignment with established file architecture. Other duties as assigned from time to time. Become Part Of Our Team High School Diploma, or equivalent required; two (2) year post-secondary education in a related field preferred or an equivalent combination of education and experience related to the core responsibilities of the position. Demonstrated proficiency in Microsoft Office Suite and SAP preferred. Experience with CRM Systems is preferred. Highly motivated and results-oriented individual with 1-3 years of relevant work experience in order entry processing or related sales operations administration. Willingness and ability to quickly learn and apply knowledge of company-specific products and processes, taking initiative to inquire with subject-matter experts when needed. Exceptional speed, accuracy, attention to detail, and problem-solving skills, with the ability to maintain performance in a fast-paced environment. Excellent customer service skills, including strong listening, verbal and written communication with ability to convey information clearly and accurately. Strong organizational and multi-tasking skills with ability to self-initiate and manage to deadlines. Ability to maintain professionalism in challenging situations.
