Our client, a boutique wealth management practice in Markham, ON, is seeking a highly organized, client-focused, and proactive Client Services Specialist to support their advisory team. This role is ideal for someone with hands-on experience in a wealth management or investment advisory environment who combines exceptional client service with strong judgment, attention to detail, and independent problem-solving skills. The successful candidate will play a key role in supporting financial advisors, managing client relationships, and ensuring the smooth day-to-day operation of the practice. They will be comfortable taking ownership of client and operational issues, thinking through solutions independently, and knowing when to escalate matters to the advisory team. Compensation $60,000 – $65,000 base salary Fully on-site role in Markham, ON Benefits & Perks Permanent opportunity with comprehensive health and dental benefits 3 weeks’ vacation, plus additional time off during the office closure between Christmas and New Year Collaborative, close-knit team environment Strong exposure to wealth management operations and client servicing Opportunity for growth as the business expands Key Responsibilities Act as the first point of contact for clients, delivering a professional, polished, and high-touch client experience across phone, email, and in-person interactions Manage advisor calendars and coordinate client meetings, including scheduling, confirmations, and preparation of meeting materials Monitor and manage multiple inboxes, ensuring timely, accurate, and professional communication with clients Support advisors with investment account administration, including account opening, transfers, and ongoing client record maintenance Prepare client-ready materials for portfolio reviews and client meetings Liaise with clients and internal stakeholders to resolve inquiries efficiently and professionally Assess client and administrative issues, troubleshoot problems independently, and determine appropriate next steps before escalating when necessary Proactively identify issues, take ownership of follow-through, and ensure matters are resolved accurately and efficiently Maintain CRM systems and ensure accuracy and completeness of client data Support the advisory team with day-to-day operational and administrative requirements Perform light office management duties, including opening/closing the office, ordering supplies, and preparing meeting rooms Exercise sound judgment when handling confidential client information and sensitive client matters Identify opportunities to improve processes and contribute to the overall efficiency of the practice Qualifications & Experience 3+ years of experience in a wealth management, investment advisory, or financial services environment, ideally supporting financial advisors Hands-on experience with investment account opening, transfers, and ongoing account administration Experience preparing materials for portfolio reviews and client meetings Proven experience providing high-touch client service in a professional financial services environment Strong critical-thinking and problem-solving skills, with the ability to assess situations independently and determine appropriate next steps Demonstrated ability to take initiative, work independently, and resolve issues without requiring frequent direction Exceptional verbal and written communication skills Strong organizational skills with the ability to manage multiple priorities and high volumes of communication High level of professionalism, discretion, attention to detail, and reliability Strong working knowledge of Microsoft Office, including Outlook, Word, and Excel Experience with CRM systems Experience with Dataphile and/or Croesus is a strong asset Comfortable working independently in a small, team-oriented office environment Demonstrated ability to take ownership of responsibilities and follow tasks through to completion Strong judgment and a proactive approach to client service and problem-solving At Aplin — together with our brands CompuStaff, Impact Recruitment, and Vantix Systems — we connect great people with great organizations across North America.
