Competition #2026-070 Category: Full-Time Term until March 31st, 2027 (with possibility of extension) Closing Date: August 14, 2026 Position Summary: Under the direction and supervision of the Youth Program Coordinator – Youth Unit Lead, the Intake Administrator is responsible for coordinating and managing the administrative processes involved in admitting clients into programs or services. This role ensures that all documentation is completed accurately, referrals are processed efficiently, and clients receive timely, professional support. The Intake Administrator works closely with program staff, external agencies, and clients to maintain smooth, organized intake operations. Key Activities: Receive and process incoming referrals from agencies, healthcare providers, or community partners. Review intake forms and documentation for accuracy, completeness, and eligibility. Schedule intake appointments, assessments, and follow-ups. Maintain an organized intake workflow to support timely service access. Prepare intake files, checklists, and related administrative documents. Maintain confidential records and ensure compliance with organizational, privacy, and legal standards. Generate daily, weekly, or monthly intake reports as required. Provide clear information regarding program requirements, intake procedures, and timelines. Respond to inquiries via phone, email, or in person in a professional, supportive manner. Coordinate with internal departments to ensure smooth handoff after intake. Follow established protocols for documentation, confidentiality, and data accuracy. Other duties as assigned. Qualifications: Experience in administrative work, preferably in healthcare, social services, or community programs. Strong attention to detail and excellent organizational skills. Proficiency with computer systems, databases, and Microsoft Office. Knowledge of trauma-informed care, youth development, and risk assessment. Excellent communication, documentation, and organizational abilities. Ability to work independently in determining work methods or priorities. Proven ability to work cooperatively and effectively with First Nation stakeholders. Valid Class 5 driver’s license and access to a vehicle may be required. Ability to work flexible hours depending on program needs. Must be able to provide a clear Criminal Record Check (including vulnerable sector) and a clear Child Abuse Check.
