Reporting the operations manager the Collaborative Care Coordinator is primarily responsible for compassionately supporting prospective clients through the intake process from initial point of contact to finding their ideal fit on our clinical team. Pay: This position will start at a rate of $24.50-$26.50 per hour, based on experience and relevant training, for 20-30 hours per week. With the possibility for increased hours and responsibility following a successful probationary period. Location: This is a hybrid position, with two days per week onsite at one of our offices in London required. This position may transition to full time on site in the future, in accordance with operational needs. Hours of Work: Hours of work are flexible, according to the selected candidates availability and operational needs. Some evening/weekend work may be required. Who we're looking for: We're looking for an excellent communicator who shows initiative, takes a creative approach to solving problems, and is able to prioritize competing demands. Someone who is able to exhibit a high level of discretion when handling confidential information, respond calmly and confidently to emotionally charged communication with service recipients, and help keep us on track with various administrative tasks. We're looking for someone who can learn quickly and adapt to changing priorities. Most importantly, we're looking for someone who knows how hard it is to reach out for help and is passionate about providing a warm and caring welcome to members of our community reaching out for support. Your primary responsibilities will include: Handling requests for counselling and matching prospective clients with providers on our interdisciplinary team Referring clients to other community services as appropriate Entering information into our client database Supporting the clinical director with scheduling and planning Supporting counsellors with billing, scheduling and managing electronic health records Completing light housekeeping duties around the office Providing marketing support (including social media and event support) Over time your duties may grow to include: Creating policies and procedures for the practice Supporting the joint health and safety initiatives of the practice Coordinating and promoting workshops and social enterprise activities Coordinating student placements Coordinating counsellor onboarding and administrative training Providing human resource support to the operations manager Providing payroll assistance to the practice bookkeeper/operations manager Supporting research activities at the practice Minimum qualifications: Completion of secondary school Comfort with technology and willingness to learn new software applications Excellent written and verbal communication skills in English The ability to safely and respectfully engage with people of diverse identities and cultural backgrounds A passion for building mentally well, kind, and just communities Prior work or volunteer experience in an office setting Preferred qualifications: Completion of post-secondary degree or diploma in (medical) office administration, communications, business, marketing, human resources, social service work, psychology or a related discipline. Familiarity with Jane practice management software. Prior experience with project management. Prior experience working a medical or educational office setting. The ability to speak French or Spanish as a second language. Experience with social media content creation. Experience drafting policies and procedures. Knowledgeable of community services available in London and surrounding areas. Lived experience of mental health or substance use concerns. Awareness of the unique challenges faced by members of racially minoritized, gender expansive, neurodivergent and sexually diverse communities. Upon hire all candidates will be required to submit a police record check including vulnerable sector screening.
