Your Role Reporting to the Controller, the Payroll Specialist is responsible for administering accurate and timely payroll for hourly and salaried employees, maintaining payroll and benefits records, supporting statutory and year‑end requirements, and ensuring compliance with legislation and internal policies. This part‑time role supports payroll operations across multiple sites and collaborates closely with HR and operational teams. Responsibilities: Payroll Processing - Prepare, verify, and process all payrolls, including regular pay, allowances, vacation, bonuses, commissions, pension/RRSP deductions, and termination pay. Administration - Maintain leave, overtime, schedules, shift rotations. Enter new hires, process changes, and complete terminations. Benefits & Leaves - Administer RRSP contributions, leaves (maternity, parental, STD/LTD), and related documentation. Statutory Filings - Prepare ROEs, WSIB documentation, EHT remittances, taxable benefits, and year‑end filings including T4s and reconciliations. Compliance & Reporting - Ensure adherence to payroll legislation, collective agreement provisions, union requirements, and internal controls. Prepare monthly, quarterly, annual, and ad‑hoc payroll reports. Employee Support - Respond to payroll inquiries, resolve discrepancies, and provide guidance on payroll matters, benefits, and policies. Time & Attendance - Verify timesheets, collaborate with sites to set up timeclock users, and provide occasional training on timeclock use. Financial Reconciliation - Reconcile payroll accounts, investigate variances, and balance period‑end reports. Additional Duties (Integrated & Non‑Duplicated) Enter and maintain payroll elections, union deductions, allowances, banking information, badge numbers, employment status, and shift rotations. Set up new jobs, sites, departments, and shift rotations in Dayforce; populate schedules for new hires. Prepare annual bonus sheets, enter bonuses with RRSP matching, and remit monthly RRSPs to Manulife. Calculate automobile taxable benefits and coordinate mileage submissions. Prepare annual fitness reimbursement. Complete annual reconciliations for WSIB, EHT, T4s, taxable benefits, statutory deductions, and related GL accounts. What You Bring: 3+ years of experience in payroll administration, such as full-cycle payroll experience 3+ years of experience in the Construction, Home Building, Real Estate, Property Management or related industry experience preferred Must have Payroll Compliance Professional (PCP) or Payroll Leadership Professional (PLP) designation Experience with Ceridian Dayforce is required Knowledgeable with Benefits administration is an asset Excellent knowledge of finances, including accounting principles and practices Strong working knowledge of payroll-related tax legislation and employment standards (payroll source deductions, statutory holidays, overtime, leaves) Strong proficiency in Microsoft Office, specifically Word and Excel, including V-Lookups and PIVOT tables and formulas Excellent time management and organizational skills with capability to multi-task and perform in a fast-paced, deadline-driven environment Solid problem-solving and analytical skills, meticulous attention to detail and accuracy Demonstrates professionalism when dealing with confidential and sensitive information Strong written and verbal communication skills Demonstrates strong team player and customer service orientation.
