City of Kenora Job Posting Job Title: Operations Support Division: Planning & Building Salary: $30.81/hr Benefits: In accordance with Collective Agreement Hours of Work: 7-day operation - in accordance with the Collective Agreement Position Status: 1 full-time, temporary position. This is an 18 month coverage. Posted Internally: August 11, 2026 Closing Date: August 18, 2026 The Operations Support will provide comprehensive and professional administrative support to their Divisional leaders. Duties include but are not limited to, inventory functions, data input activities, letter writing and correspondence, timekeeping, administrative support for divisional projects, minute taking, and general office procedures. Qualifications: Grade 12 Diploma or equivalent. Post-secondary Diploma in Office Administration, Business, or related field of study. Minimum three (3) years’ computer related experience with proficiency in Microsoft Office products Ability to type a minimum of 50 wpm. Ability to work with highly sensitive and confidential matters and maintain strict confidentiality High level of expertise in all areas of modern office practice and procedures. Demonstrated ability to communicate effectively verbally and in writing. Demonstrated attention to accuracy and detail, in a time sensitive environment Ability to handle irate members of the public, either in person or over the phone, in a courteous, helpful and effective manner. Ability to work independently and as member of a team. Ability to work under pressure and with interruptions; able to prioritize a heavy workload and ability to consistently meet deadlines. Demonstrated experience and working knowledge of the Ontario Occupational Health & Safety Act and Regulations specifically concerning the requirements for job hazard analysis and the development of and training on safe work procedures. Ability to get along well with others including supervisors, co-workers, members of the public and other partners in service. Responsibilities: Assists Divisional leaders with day to day work and special projects as they arise including correspondence, research and preparation of spreadsheets along with routine clerical work such as typing, mail processing, purchase of inventory or office supplies, and arranging meetings upon request. Assist with the development of divisional policies and Standard Operating Procedures, and maintain records to ensure compliance with applicable legislation. Assists Divisional Leader with completion of work orders on internal system and ensures items are tracked for follow up as required. Administers the Department’s tracking system for Customer complaints / concerns; maintains a manual tracking system, forwards to respective departments and any relevant external parties (if required) for review and comment. Works directly with the Supervisors under the General Manager to progress issues and ensure files are tracked for follow up. Provides written follow-up to respective customers where warranted. Provide coverage on an as needed basis for Desk Attendants. Train and assist part-time staff with day-to-day operations of the Solid Waste & Recycling operation. Reconcile month end for the Solid Waste financials for review by the supervisor. Drafts and proofreads correspondence on behalf of Divisional Leader where required. Take minutes of meetings when required. Provides coverage for the Operations Support, Recreations Support, and Fleet Administrative Support positions as required.
