The hourly wage range for this position is $22.00 – $27.00 Final compensation will be determined based on relevant skills, experience, qualifications, and internal equity. This is a posting for an existing job vacancy ESFM is the corporate Integrated Facilities Management (IFM) division of Compass Group Canada operating in the business & industry sector. Along with providing IFM services to the Canadian Headquarters of several multi-national businesses, ESFM’s list of clients include household names in the Telecommunications, Entertainment, Pharmaceutical, Gas & Oil, Food Processing and Automotive markets. ESFM self-performs 80% of all IFM solutions provided to clients. This model creates a consistent hospitality experience for our clients, resulting in higher engagement and productivity from their employees. Job Summary Responsible for clerical functions and administrative support. Essential Duties And Responsibilities Oversee general operation of the unit office to include upkeep of operating cost records, associate files, compliance, record retention in addition to organization and filing of records and other operational supporting documentation that may be required. Answer telephones and directs inquires in a professional manner. Maintain confidential personnel files. Assist management staff in preparing confidential employment documents, including but not limited to proposed disciplinary notices. Open and routes incoming mail, answers correspondence and prepares outgoing mail. Assist with staffing, including finding staff when employees call out on short notice. Process vendor invoices for payment – making sure there is no discrepancy in pricing. Perform monthly vendor statement reconciliations. Assist in preparation of end of month financial reports. Attend in-service and/or safety meetings as required. Mail and courier services management Visitor processing and reception services, including receiving visitors and deliveries at the main floor reception area Delivery management for IMS and freight elevator booking coordination Shared boardroom booking management for the 3rd and 4th floors Visitor and employee badge activation, as required General reception and customer service duties other duties as assigned Qualifications Think you have what it takes to be one of our Receptionists/ Coordinators ? Strong verbal and written skills, with an ability to maintain good relationships with suppliers, staff, clients. Strong computer skills and ability to learn various software programs quickly. Ability to adapt to a changing and fast-paced environment. Excellent interpersonal skills. Ability to meet strict deadlines and take direction/feedback. Microsoft Office proficiency.
