The Opportunity Our client, a highly regarded organization located in downtown Toronto near Union Station, is seeking a Senior Administrative Assistant to join their Human Resources team. In this highly visible role, you will serve as the administrative hub of the department, supporting day-to-day operations while providing executive-level administrative to an executive. This is an excellent opportunity for someone who enjoys variety, takes initiative, and excels at keeping multiple priorities moving seamlessly. Key Responsibilities Responsibilities include, but are not limited to: Provide executive administrative support to an executive, including complex calendar management, travel arrangements, meeting coordination, and expense reporting. Manage an exceptionally busy and ever-changing department calendar, balancing competing priorities and making thoughtful scheduling decisions. Prepare, edit, proofread, and format departmental communications, reports, presentations, and correspondence. Coordinate department meetings, prepare agendas, take minutes as required, and track action items and deliverables. Assist with the planning and execution of department meetings, team events, and special initiatives. Serve as a trusted gatekeeper, managing requests, protecting the executive's time, and exercising sound judgment with respect to priorities and confidential information. Act as a key point of contact for the department, ensuring information flows efficiently and administrative processes run smoothly. What You Bring Looking for 3-10 + years of experience providing administrative support within a fast-paced, professional environment. Experience supporting senior leaders or executives is considered a strong asset. Outstanding organizational and time management skills, with the ability to manage multiple competing priorities. Strong problem-solving abilities and a proactive, solutions-focused approach. Excellent interpersonal skills with the ability to build relationships across all levels of an organization. Exceptional written and verbal communication skills, with strong proofreading and editing abilities. High level of discretion and professionalism when handling confidential information.
