Reporting Structure As the Human Resources Administrative Assistant, you will provide administrative and operational support to the Human Resources department. Reporting to the Regional Operations Director, you will assist with recruitment, onboarding, employee records, payroll administration, training coordination, and various HR projects while working closely with hotel leadership across our portfolio. Responsibilities * Provide day-to-day administrative support to the Human Resources department. * Assist with recruitment by posting job advertisements, scheduling interviews, conducting reference checks, and preparing letters of offer. * Coordinate new hire onboarding, orientation packages, employment documentation, and employee files. * Maintain accurate employee records while ensuring confidentiality. * Assist with payroll administration including new hires, terminations, wage changes, vacation tracking, and payroll documentation. * Support benefit enrollments, changes, and employee inquiries. * Assist in preparing employment contracts, HR letters, reports, and other documentation. * Schedule meetings, prepare agendas, and coordinate HR-related meetings and training sessions. * Coordinate employee training sessions and maintain training records. * Monitor completion of performance review documentation and assist managers with scheduling review timelines. * Assist with maintaining and updating company policies, employee handbooks, and HR forms. * Conduct HR reporting using Excel and other software platforms. * Support employee engagement initiatives and company events. * Respond to employee inquiries regarding HR policies and procedures. * Research employment legislation as required. * Perform other administrative duties, assist with company newsletters and employee communications, and support special projects as assigned. Qualifications * Education: Diploma or certificate in Human Resources, Business Administration, Office Administration, or a related field is preferred. * Experience: 2–3 years of administrative experience, preferably supporting Human Resources or Payroll. * Technical Skills: * Excellent organizational and time management skills. * Strong attention to detail and accuracy. * Ability to maintain confidentiality. * Ability to prioritize multiple deadlines. * Strong problem-solving skills. * Professional and positive customer service approach. * Proficiency in Microsoft Office, including Word, Excel, Outlook, and PowerPoint. * Experience with HRIS systems is considered an asset. * Payroll Systems: Experience working with payroll systems such as ADP, Paychex, Dayforce, or similar platforms is considered an asset. Knowledge of payroll processes, deductions, and employee records is preferred. * Legislation: Ability to research employment standards and legislation in British Columbia, Saskatchewan, Manitoba, and Arizona. * Communication: Excellent interpersonal skills with an efficient use of email platforms and communication tools for effective internal and external communication. Ability to build relationships with employees at all levels. * Adaptability: Ability to manage multiple priorities while maintaining accuracy in a fast-paced environment.
