Holy Rosary, MiltonPart TimeMilton, ON Apply Now Parish Office Assistant/ Program Coordinator Holy Rosary Parish in Milton, is looking for a part-time Office Assistant/Program Coordinator (25 hours/week). Reporting to the Parish Priest, this position offers a health and dental benefits, pension plan and competitive rate of pay and requires a commitment to work flexible hours when needed. Primary Responsibilities Coordinates First Communion, First Reconciliation, and Confirmation registration, parent meetings, and celebrations in collaboration with clergy, Catholic schools, principals, teachers, parents, and the local Catholic school board. Maintains registrations in PDS and ongoing communication with participating families. Prepares sacramental certificates, registration and school packages, correspondence, seating plans, schedules, Professions of Faith, and other required documentation. Responds to parent inquiries. Prepares, edits, distributes, and posts the weekly parish bulletin and maintains parish bulletin boards. Prepares weekend liturgical materials, including announcements, introductions, intercessions, commentator binders, ministry sign-in sheets, and schedules. Supports/helps develop programs for children and youth in collaboration with clergy and lay leaders that encourage participation in parish life, including Children’s Liturgy, parish initiatives, volunteer scheduling, training, communication, and resource distribution. Coordinates Baptisms and assists with documentation for Weddings and Convalidations, including communication with families, preparation reminders, certificates and sacramental records. Serves as the parish Volunteer Coordinator, conducting brief interviews and including screening in accordance with Diocesan guidelines. Coordinates the scheduling, and ongoing support of liturgical ministers and maintains necessary church and sacristy supplies for weekend Masses, sacraments, and other liturgical celebrations. Conducts teacher interviews for Catholic School Board applicants as needed Other duties as assigned by the Pastor when required. Requirements Post Secondary education in a relevant field preferred. Advanced knowledge of Microsoft Office. A good understanding of and respect for Catholic Doctrine, Liturgy and practice. 2-3 years of prior secretarial/office experience preferred. Ability to work with people of diverse backgrounds Strong attention to detail, and ability to organize and prioritize efficiently. Strong Communication and interpersonal skills. Strong computer skills - particularly in preparing, editing, and managing documents and parish communications. Ability to work independently and follow instructions.
