We are looking for someone who knows how to exercise good judgment, distinguish the urgent from the important, contribute to the effective management of the Senator’s time, and ensure rigorous follow-up on requests and commitments. This position requires a high level of discretion and offers the opportunity to play a central role in the day-to-day functioning of an active parliamentary office, by providing high-level administrative support and contributing to the coordination of the office’s activities, its relationships with partners, and the Senator’s digital presence. Main Responsibilities Manage the Senator’s calendar, carry out the necessary follow-ups, identify scheduling conflicts, and ensure that each meeting is properly prepared; Answer phone calls, emails, and information requests, provide general information, direct inquiries to the appropriate people when necessary, and ensure proper follow-up; Organize the Senator’s travel, prepare briefing/material files, and ensure the smooth day-to-day administrative functioning of the office, including tracking expenses and reimbursement requests, maintaining files, and managing supplies and other routine administrative needs; Prepare, review, and follow up on correspondence for the Senator and office staff; Participate, alongside other team members, in developing the Senator’s digital presence and contribute to publishing content intended for social media; Participate in organizing events, meetings, and office activities, while ensuring a professional and welcoming reception for guests and partners; Develop and maintain excellent working relationships with other parliamentary offices, Senate administrative services, and external partners; Contribute to improving work methods and administrative processes and make effective use of digital tools to increase the efficiency of the office; Take on any other responsibilities assigned by the Senator or the Director of Parliamentary Affairs in order to support the office’s priorities. Prerequisites Relevant experience in administrative support, administration, or communications in a government, parliamentary, or institutional environment; Excellent organizational skills, the ability to anticipate needs, and the ability to manage multiple priorities simultaneously, sometimes under tight deadlines; Excellent writing and summarization skills; Excellent proficiency in Microsoft Office, strong comfort with digital tools, and an interest in new technologies that can simplify processes and speed up repetitive tasks; Sound judgment and the ability to recognize situations requiring consultation or intervention; A high degree of autonomy, a strong sense of responsibility, and the ability to take initiative; Excellent interpersonal skills and the ability to build relationships of trust with colleagues, partners, visitors, and other parliamentary offices; A high level of discretion, strong attention to detail, and the ability to handle confidential information professionally; Knowledge of how the Senate operates, parliamentary institutions, or the political environment is considered a significant asset; Excellent command of both French and English, both spoken and written.
