Job Summary The Department of Physical Therapy provides the only provincial program for the education of entry-to-practice Physical Therapists. Through rigorous scholarly activity, high standards of instruction and creative opportunities for learning, the Master of Physical Therapy (MPT) program provides a strong foundation that supports the current and future practice of the profession. The MPT program is one of the leading Physical Therapy Programs in Canada. The MPT program is fully-distributed and provides students the opportunity to study in state-of-the-art labs at UBC sites in Vancouver, Surrey, Prince George, Victoria and Okanagan. The program curriculum uses an integrated, case-based approach and is taught by the Department’s renowned academic faculty and a community of clinical educators. The Clinical Placement Operations Manager will manage the day-to-day operations of the clinical education portion of the MPT Program. The incumbent will ensure clinical placement opportunities for MPT students are delivered within defined objectives that align with program goals and accreditation standards. The clinical education staff team supports the delivery of 700+ annual student clinical placements across all distributed program sites. The Clinical Placement Operations Manager will help to develop and implement clinical education policies and procedures, as well as monitor student progress and performance on clinical placement. Organizational Status This position works independently under general direction from the Senior Manager, PT Programs, and the Associate Head, Clinical Education. The role works cooperatively with other MPT Program Site Managers and staff to provide academic support and guidance for faculty and students. The role liaises with practice partners, clinical preceptors, professional organizations and health authority stakeholders regarding student clinical practice placements. Work Performed Manages the day-to-day planning and delivery of clinical placements for the distributed MPT program. This includes planning short-term and long-term placement components of the program and ensuring placement selections/options meet accreditation standards. Supervises Clinical Education staff members at all distributed sites including managing workload, delivering performance reviews and disciplinary action if required. Ensures the clinical education staff team is on schedule and has support and resources to set-up and renew clinical placement site agreements, receive placement offers, review student pre-placement requirements, match students to clinical placements and track their progression through the program. Troubleshoots complex issues that arise in these areas. Provides input into developing and implements policies around student clinical placements. Tracks feedback and implements changes to process and procedure to improve clinical education delivery. Works the Sr. Manager, PT Programs on larger and more complex problems and changes. Analyzes clinical education data for trends and prepares summary and accreditation reports as requested. Organizes outreach initiatives and liaises with other Canadian and international universities and clinical sites to set-up out-of-province and international clinical placement opportunities. Oversees outreach and professional development event planning for clinical faculty and preceptors. Tracks and reports expenses and works with the Sr Manager, PT Programs to ensure that spending is within the planned budget. Oversees the department’s Clinical Faculty appointment, reappointment, and promotions process and provides guidance to the Departmental Clinical Faculty Appointment and Promotions committee to ensure that policy and procedure is adhered to in their decision-making processes. Works with the HR Manager and Director of Administration on HR issues. Holds non-voting membership and acts as an advisor and resource on clinical education committees. Moves forward action items and policy decisions from the committee level. Oversees and attends student issue meetings and student appeals proceedings as they relate to clinical education. Ensures that materials are being stored, archived and destroyed in accordance with UBC and departmental policy and personal and private data collected by the Clinical Education team is stored and handled according to UBC Privacy Guidelines. Other duties as required including managing special projects or initiatives as assigned by the Senior Manager, PT Programs or the Associate Head of Clinical Education. Consequence of Error/Judgement Errors in judgment or decision-making could affect student progression through the program and the quality of student clinical education. Errors in data analysis could result in the creation poorly informed policies. Errors in judgement around communications and support to preceptors and students could impact the Department reputation and lower the number or quality clinical education placements available to students in the MPT Program. Incorrect actions or decisions may damage the careers of MPT students and lead to appeals. Supervision Received This position works under broad direction within defined objectives from the Associate Head of Clinical Education and reports to the Senior Manager, PT Programs. Supervision Given Manages 3-5 CUPE 2950 staff working across three distributed sites. May be asked to supervise GTAs or temporary staff on special projects as required. Minimum Qualifications Undergraduate degree in a relevant discipline. Minimum of one to two years of related experience, or an equivalent combination of education and experience Preferred Qualifications Excellent written and verbal communication skills. Ability to summarize, analyze and interpret data, determine implications, and provide recommendations. Knowledge or experience in clinical physical therapy practice is an asset. Previous experience in clinical health professional or medical education is an asset. Proficient using Microsoft Office including: Outlook, MS Word, MS Excel at an intermediate level. Demonstrated success in managing teams. Demonstrated success in developing or improving operational policies, procedures and processes. Proven ability to adapt and work effectively in a multi-task environment under pressure with high volume of work and critical deadlines. Demonstrates a commitment to enhancing one’s own awareness, knowledge, and skills related to equity, diversity, and inclusion. Demonstrated organizational and project management skills. Strong analytical skills, including the ability to analyze numerical data, draw logical inferences, and provide reasonable recommendations. Proven ability to work in a team and collaborate with others. Proven ability to be flexible and self-motivated. Ability to deal with a diversity of people in a calm, courteous, and effective manner always maintaining awareness of the client perspective. Ability to analyze problems, identify key information and issues, change data into information and effectively find resolution.
