JOB PURPOSE: This role aligns donor engagement, stewardship and recognition opportunities with UWBC’s strategic plan by continuously evaluating and assessing their effectiveness. The incumbent works collaboratively with colleagues to enhance event and donor engagement experience and maximize desired outcome(s). This role requires a highly energetic events/donor relations professional with a solid track record of executing a range of exceptional events. This role applies strategic and detailed-oriented approaches and superior organizational skills. This role supports building relationships with a wide range of stakeholders in a high pressure, high volume, fast-paced environment with multiple priorities and competing timelines. ABOUT YOU: You are a relationship-focused and highly organized professional who thrives in a fast-paced environment. You bring experience in event planning, donor stewardship, or fundraising, along with exceptional communication and stakeholder engagement skills. You are proactive, detail-oriented, and able to manage multiple priorities while delivering outstanding experiences for donors, volunteers, sponsors, and community partners. Most importantly, you are passionate about building stronger, more inclusive communities and are motivated by making a meaningful impact. ABOUT THIS ROLE: As the Events and Donor Relations Coordinator, you will help advance United Way BC's strategic priorities by coordinating donor engagement, stewardship, recognition initiatives, and exceptional events that strengthen relationships with supporters. Working collaboratively across teams, you will enhance the donor and event experience, build meaningful stakeholder relationships, and apply strong organizational and project management skills to deliver results in a dynamic, fast-paced environment. * This is a temporary full-time position scheduled to end in January 2028 to provide leave coverage. As this is a temporary position, the term may be extended or concluded earlier based on operational requirements. DUTIES & RESPONSIBILITIES: Special Events * Plans and executes cultivation and stewardship events, including the associated administration, coordination of personnel and physical set-up, and take-down. Events may involve evening and weekend hours and necessary adjustments to work week. * Attends meetings with donors or event leaders as appropriate. Provides outstanding service to all stakeholders and ensures timely pre- and post-event follow-up and ensure the highest standard of experience for event attendees. * Liaises with vendors, suppliers, sponsors, donors and other affiliated groups and individuals as needed with service excellence always top of mind. * Works collaboratively with members from the Philanthropy Team and other units in the creation of events related collateral and ensures a seamless process. * Works with the Director to develop and maintain a calendar and timeline for annual cultivation and stewardship events. * Participates in the development of multi-year event planning as a strategic tool for the Philanthropy Team. Donor Recognition & Stewardship * Designs, documents, and implements a systematic and integrated donor relations program. * Establishes and manages information tracking processes regarding acknowledgement, recognition, on-going communications and continued cultivation of past and current donors and members to enhance their relationship with UWBC and increase the likelihood of continued contributions. * Supports stewardship processes, including follow-up and thanking of PT donors via personal contact, communication materials, receipting, and other engagement methods. Ensure timely and accurate acknowledgement, thanking, recognition and excellent customer service. * Assists with the development of customized stewardship newsletter and customized annual stewardship packages * Tracks external and internal award submissions to strategically engage donors and volunteers. * Regularly researches stewardship opportunities from other United Ways and charities. General * May participate in community engagement or fundraising activities. * Performs other duties related to the qualifications and requirements of the job. * Manages team including hiring and performance management. Provides guidance and sets standards and priorities, assigning work, removing barriers and ensuring goals are met. QUALIFICATIONS & REQUIREMENTS: Education: * 2 (Two) year diploma in marketing, communications, advertising or public relations * Certificate in project management is an asset Experience: * A minimum of 3 (Three) years of experience in fundraising, stewardship and/or event planning Skills: * Strong inter-personal skills. Must respect a high level of confidentiality; ability to exercise a high level of tact and discretion in both internal and external interactions is critical * Proven organizational skills and the ability to multi-task and work under pressure to meet tight timelines with great accuracy and attention to detail * Strong collaboration and influencing skills – ability to change interpersonal style and approach based in circumstance or audiences; Ability to be assertive while respectful in managing expectations of a wide range of stakeholders. * Excellent communication skills, both written and oral; demonstrates ability to tailor messages appropriately to various internal and external stakeholders; shares information; actively listens and involves others. A collegial, collaborative style, ability to speak and write articulately, persuasively, and with sensitivity to donor concerns * Able to handle problems independently and is able to resolve issues; Holds self-accountable for delivering on commitments * Provides timeline and professional service to both internal and external stakeholders; is responsive to donor needs and requests; is always courteous to the stakeholder and considers the needs of the stakeholder when making decisions.
